Position Summary

The Human Resource Specialist aids with and facilitates the human resource processes at all business locations. This role administers employee health and welfare plans and acts as liaison between employees and insurance providers. This position resolves benefits-related problems and ensures effective use of plans and positive employee relations. The Human Resource Specialist makes that certain plans are administered in accordance with federal and state regulations and that plan provisions are followed.

This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance and HRIS entry.

Essential Duties and Responsibilities
  • Administers health and welfare plans, including enrollments, changes and terminations. Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions. Working with Account payable to process benefit billing and reconciliation.
  • Performs customer service functions by answering employee requests and questions.
  • Completes Forms I-9, verifies I-9 documentation and maintains I-9
  • Submits online investigation requests and assists with new-employee background checks.
  • Reconciles benefits statements.
  • Directly responsible for day-to-day tasks such as; triaging general HR inbox, incoming calls, and in person visits to the HR department.
  • Conducts audits of payroll, benefits, and other HR programs, with responsibilities that include generating reports, analyzing data, and making recommendations for improvements.
  • Verifies employee licenses and certifications to ensure compliance with company policies and regulatory requirements, including tracking expiration dates and coordinating renewals as needed.
  • Assist with maintenance and printing of badges for the workforce.
  • Administers employee terminations by entering information into the HRIS system, submitting necessary tickets, and coordinating with payroll to finalize the termination process.
  • Assists with the preparation of the performance review process.
  • Assists with recruitment and interview process. Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.
  • Managing calendar, Schedules meetings and interviews as requested by management.
  • Makes photocopies; mails, scans and emails documents; and performs other clerical functions.
  • Files documents into appropriate employee files, ensuring accurate and up-to-date employee records are maintained.
  • Assists or prepares correspondence as requested.
  • Prepares new-employee files.
  • Maintain the HRIS and ensure the accuracy of data
  • Follows Hospital and Department policies and procedures at all times, including but not limited to:
    Administrative Manual, Environment of Care, Human Resources, Infection Control, Corporate Compliance, Code of Ethics, etc.
  • Attend, actively participate and complete in-services, training classes, mandatory classes, seminars/workshops, staff meetings, exercises and drills; reads all department communication and assigned materials.
  • Customer Service – Provides excellent customer service and shows compassion to all patients, visitors and co-workers. Seeks feedback to ensure all needs are met. Anticipates and recognizes the concerns of others, even if those concerns are not openly expressed.
  • Communication – Keeps manager and team informed of progress, problems, development and plans. Gets along and interacts positively with co-workers and others.
