Position OverviewWe are seeking a reliable, detail-oriented Legal Intake Specialist to manage prospective client intake from initial inquiry through retainment. This client-facing role is critical to both client experience and firm operations. The ideal candidate thrives in a fast-paced environment, communicates with empathy and confidence, and has experience in legal or administrative intake (family law preferred).
Key Responsibilities- Respond promptly to new client inquiries via phone, email, and online intake forms
- Conduct initial intake calls with prospective clients in a professional, empathetic, and confident manner
- Collect and accurately document client information in our case management systems
- Perform preliminary conflict checks and coordinate with attorneys
- Schedule consultations using Microsoft Outlook and coordinate attorney availability
- Send engagement materials and guide clients through the next steps
- Discuss consultation fees and handle basic payment collection for consultations or retainers as needed
- Maintain consistent follow-up with prospective clients to ensure no leads fall through the cracks
- Communicate clearly with attorneys and staff regarding intake status and scheduling
- Keep intake records organized, up to date, and accurate
- Adjust quickly to changes in workflow, priorities, or procedures
- Handle confidential and sensitive information with discretion
- Experience in an intake, administrative, or client-facing role (law firm experience preferred; family law a plus)
- Strong working knowledge of Microsoft Outlook, including email and calendaring
- Comfortable working with Adobe and document management (PDFs, forms, review and organization)
- Excellent organizational skills and attention to detail
- Comfortable discussing fees and handling basic payment collection
- Strong written and verbal communication skills
- Ability to manage multiple tasks and follow through consistently in a fast-paced environment
- Willingness to adapt, learn quickly, and adjust as firm needs evolve
- Salary: $75,000 – $90,000 annually, based on experience
