Responsibilities- Perform complex and specialized secretarial support and legal document processing under the general direction of assigned attorneys and/or supervisor.
- Provide support to assigned attorneys regarding computer software and hardware functions and applications.
- Maintain knowledge of Firm legal secretarial functions and provide overflow coverage for other secretarial assignments as requested.
- Handle secretarial functions, including telephone/voice mail procedures, travel and calendaring management, operation of photocopy equipment, email and electronic file management, courier service forms and procedures, accounting and billing procedures, conflict checks/new client matter memos and intake, filing and records center procedures, and other tasks as assigned.
- Perform input and/or revision of documents in accordance with author’s instructions, utilizing Firm equipment and software and in compliance with Firm standards and procedures.
- Draft, edit, format legal documents for distribution when needed; proofread work products; photocopy, assemble, and distribute prepared material; redline, email, or otherwise process documents according to author’s request.
- Collaborate with firm departments regarding local and federal legal filings as needed.
- Enter attorney time into Firm timekeeping system.
- Leverage and collaborate with various firm departments as needed.
- Perform personal timekeeping and prepare timecard for timely submission.
- Answer telephone and monitor email and/or voice for attorney assignment upon request.
- Advise supervisor of equipment, software and maintenance problems, or training issues.
- Provide overtime and/or team coverage on occasion as needed.
- Perform other duties as assigned or required to meet Firm goals and objectives.
- Promote professionalism at all times.
- High School diploma required; college degree preferred.
- 2-6 years’ experience as a legal secretary required; law firm experience preferred.
- Knowledge of local and federal court rules and civil procedures is a plus.
- Must be computer proficient with knowledge of Microsoft Office 365; technologically savvy.
- Excellent grammar, punctuation, and spelling skills; excellent communication and organizational skills; ability to multitask.
- Works well in a team environment and effectively supports assigned attorneys with minimal supervision.
- Strong written and verbal communication skills; ability to communicate effectively and professionally with all levels of the Firm and outside vendors.
- Ability to work in a diverse team environment and effectively support demanding needs of the Firm.
- Ability to work under pressure, meet deadlines with shifting priorities.
- Self‑starter with a high level of initiative.
- Strong customer service skills; ability to anticipate needs; strong attention to detail.
- Maintains confidentiality and exercises discretion.
- Exercises solid strategic thinking and problem‑solving skills.
- Responsible for working knowledge of Firm and/or Department sponsored equipment and software, including:
- Desk and/or laptop personal computers
- Text scanners and scanner software
- E‑Fax software and procedures
- Timekeeping, billing, expense, and conflict management software
- Client database software
- Microsoft 365 related software
- Document management software
- Video conferencing software
- Delta View procedures
