The company is a multi-line insurance agency operating across personal and commercial lines, with personal lines placed through a national aggregator brokerage and commercial and primary business placed through a regional carrier partner in the Northeast United States. The agency manages several million dollars in annual premium and serves several hundred clients across personal, commercial, and life and annuity lines.
The Managing Partner also serves as a regional field manager overseeing multiple branch offices, with an active strategy to expand the branch network significantly over the next several years by recruiting and developing independent producers. This role exists because the Managing Partner's time is increasingly consumed by tactical and administrative work that limits his capacity to focus on strategic branch growth and producer recruitment.
The business is scaling multiple initiatives at once, including marketing automation, lead generation programs, and a growing multi-branch network, and requires a proactive, high-initiative partner to manage projects, build automations, and keep operations moving without close supervision.
You will serve as a strategic Executive Assistant to the Managing Partner, acting as an extension of his time and judgment rather than a transactional support resource. You will manage marketing initiatives including website and social media presence, SEO improvements, and Google review generation, while also monitoring and optimizing lead-generation funnels using AI-driven tools and automations.
You will track projects and deadlines across a growing branch network, help streamline recruiting and onboarding processes for new producers, and build dashboards and automations using Claude Co-Work, Design, and Agents. As the organization scales, your scope may expand to include additional operational, marketing, and coordination responsibilities that support the Managing Partner's broader growth strategy.
Key ResponsibilitiesMarketing Management: Oversee and improve the company's Facebook presence, website SEO, and Google review generation to strengthen the agency's digital footprint.
Lead Funnel Monitoring: Track and optimize AI-driven marketing and lead-generation campaigns, including monitoring performance across multiple funnels and adjusting strategy based on results.
Automation & Dashboards: Build automations, agents, and dashboards using Claude Co-Work, Design, and Agents to streamline recurring tasks and reporting.
Project & Deadline Tracking: Monitor projects and deadlines across a growing multi-branch network, ensuring tasks are completed on schedule and following up proactively.
Recruiting & Onboarding Support: Help streamline and improve processes for recruiting, onboarding, and training incoming producers as the branch network expands.
Executive Support: Act as an extension of the Managing Partner, managing calendar and administrative tasks to free his time for strategic growth initiatives.
Documentation & SOPs: Build and maintain standard operating procedures using Claude to capture institutional knowledge and support scalability.
