Lease Administration Analyst
We are seeking a skilled Lease Administration Analyst to join our Property & Facilities Management team in San Jose, CA. This role involves conducting reconciliations for small to medium-sized clients to ensure operating expenses align with lease terms, and upholding the integrity of a real estate portfolio data for a large, complex global portfolio of clients.
Responsibilities- Conduct reconciliations to ensure operating expenses comply with lease terms.
- Uphold the integrity of real estate portfolio data for a global portfolio of clients.
- Assist asset managers in reviewing invoices and contractual terms.
- Manage the Purchase Order lifecycle for leased asset portfolios, including requesting, tracking, and monitoring POs.
- Serve as the primary point of contact for Accounts Payable inquiries and validate invoices meet contractual terms.
- Resolve or elevate billing discrepancies to the Asset Manager.
- Monitor and report on invoices to ensure billings align with vendor obligations and financial terms.
- Collect, track, and maintain industry certifications from leased service providers to ensure compliance.
- Ensure service providers adhere to regulatory and internal operational standards.
- Provide ad‑hoc contract review support to ensure vendor contracts align with operational requirements.
- Deliver reporting to the lease asset management team regarding vendor compliance and status.
- Minimum of 5 years’ experience in leasing asset management.
- Experience revising portfolios and invoices, particularly in a global data center portfolio.
- Experience in commercial real estate, reviewing invoices, purchase orders, and contracts.
- Knowledgeable in reviewing rent invoices.
- Experience in accounts payable and purchase orders, as well as lease administration.
Skills & Qualifications
- Commercial real estate experience is a plus.
- Experience in data center space is advantageous.
- Proficiency with spreadsheets, including creating formulas and running reports using Google Suites.
- Experience with reporting tools such as Looker Studio or Power BI.
- Salesforce experience is beneficial.
- A bachelor's degree is preferred but not mandatory.
- Self‑starter with excellent problem‑solving skills.
The work environment involves a global team handling a global portfolio for data centers. The position is onsite in San Jose, CA, from Tuesday to Thursday, with working hours from 9 AM to 6 PM. The role offers the potential for conversion to a full‑time position.
Job Type & LocationThis is a Contract position based out of San Jose, CA.
Pay and BenefitsThe pay range for this position is $24.00 - $25.00/hr.
