Summary:

If you’re passionate about working in a purpose-driven community dedicated to creating an ambitious and expansive workplace, this role could be for you. Reporting directly to the VP of People Operations and supporting the Sr. Director of Diversity, Inclusion and Belonging, this role requires a professional, approachable individual who reflects our brand positively. You will interact with leadership and staff, contributing to strategic initiatives across People Operations and culture-shaping efforts.

Key Responsibilities:

  • Exercise judgment and initiative, adapt flexibly in a fast-paced environment, and multitask efficiently.
  • Manage complex calendars for internal and external meetings, prioritizing action items.
  • Serve as a trusted gatekeeper for leadership’s time and focus on top priorities.
  • Book and coordinate travel logistics for smooth experiences.
  • Support planning and hosting of visitors and events at the San Jose campus.
  • Track key actions and decisions from meetings.
  • Coordinate logistics for organization-wide meetings, offsites, celebrations, and DIB programs.
  • Handle confidential materials with integrity and discretion.
  • Manage employee and client events with project management skills.
  • Reconcile expense reports and purchase requisitions.
  • Provide backup support to the administrative team.
  • Partner with the broader People team for events and initiatives.
  • Interact professionally with executives, clients, vendors, and visitors.
  • Resolve urgent issues with organizational and communication skills.
  • Anticipate leadership needs proactively.

Basic Qualifications:

  • At least 5 years of executive administrative experience.
  • Exceptional planning, organizational, and follow-through skills.
  • High attention to detail, integrity, and professionalism.
  • Ability to prioritize and multitask under tight timelines.
  • Proficiency in Microsoft Outlook and Google Workspace.
  • Excellent communication skills, ability to work independently.
  • Quick learner of new technologies and adaptable to change.
  • Ability to thrive in a dynamic environment.
  • Genuine interest in understanding our business and industry.

Skills:

  • Same as above, emphasizing experience, organizational skills, and technical proficiency.
