About

The Role

We are seeking an experienced and highly organized Executive Assistant to provide advanced administrative and strategic support to our Legal and Human Resources executive leadership teams. This role requires sound judgment, strong attention to detail, and the ability to manage sensitive and confidential information with the highest level of professionalism.

The Executive Assistant will serve as a key liaison across the organization, assist in preparing materials for meetings of the Board of Directors, and coordinate cross-functional communication with internal and external stakeholders. Experience supporting Legal and HR functions is required; utility industry experience is considered a strong plus.

Key Responsibilities Executive Support
  • Provide executive-level administrative support to the Chief Legal Officer and Chief Human Resources Officer.
  • Manage complex calendars, schedule meetings, coordinate travel, and organize high-volume email communications.
  • Prepare, proofread, and edit confidential correspondence, presentations, reports, and meeting materials.
  • Anticipate leadership needs to ensure day-to-day operations are prioritized and efficiently executed.
Board & Governance Support
  • Assist in preparing Board of Directors materials, including reports, meeting packets, presentations, and schedules.
  • Coordinate logistics for Board and committee meetings, ensuring compliance with governance and confidentiality requirements.
  • Serve as a professional point of contact for Board members, external counsel, and regulatory partners.
Legal & HR Department Operations
  • Support departmental initiatives, projects, document management, and compliance tracking.
  • Assist with contract routing, signature coordination, and maintenance of legal files.
  • Prepare HR and Legal communications, confidential memos, and documentation.
  • Coordinate department events, trainings, and cross-functional meetings.
Cross-Functional & External Coordination
  • Liaise with internal teams, outside counsel, government agencies, and community partners.
  • Maintain professionalism while managing sensitive employee and legal matters.
  • Uphold strict confidentiality with all personnel, legal, and strategic information.
Qualifications
  • 5+ years of executive assistant experience supporting Legal, HR, or similar executive-level functions.
  • Strong experience working with or preparing materials for Boards of Directors.
  • Excellent organizational skills with the ability to prioritize competing tasks.
  • Exceptional verbal and written communication skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Proficiency with Microsoft Office Suite and collaboration tools.
Preferred
  • Experience in the utilities or regulated industry sector.
  • Familiarity with legal processes, corporate governance, or HR operations.
  • Project coordination experience supporting cross-departmental initiatives.
