Job Title
Part Time 20 Hours per Week | Onsite in San Jose CA
Purge and prepare files for scanning. Operate copiers and large-format scanners to scan documents and oversized plans. Create searchable PDF files using Adobe Acrobat Pro. Perform quality control reviews to ensure all file documents have been scanned accurately and save electronic copies to the designated shared folder. Update and maintain the spreadsheet used to track scanned files. File and organize records in the CPRU Library and the Admin Annex building.
Verify that files reviewed by engineers have been logged out in the database and are properly organized. Create labels for new file folders. Maintain and organize the office workspace and office supply cabinet. Lift and transport light file boxes between office locations as needed. Develop organizational, time management, and attention-to-detail skills while maintaining physical and electronic records. Knowledge of office procedures, filing systems, and records management.
Efficiency with Microsoft Office applications, particularly Adobe Acrobat Pro and Excel. Basic understanding of document scanning and electronic file management. Strong organizational and time management skills. Attention to detail and accuracy when scanning, indexing, and filing documents. Ability to operate office equipment, including copiers, scanners, and large-format scanners. Proficiency in creating and managing PDF documents. Effective written and verbal communication skills.
Ability to organize and maintain both paper and electronic records, perform repetitive tasks while maintaining a high level of accuracy. Work independently and collaboratively as part of a team Ability to pass Background, Drug Screen and if applicable Medical Screenings (i.e. Vision, Hearing, or Physical) if Required by Client.
