Johnson Service Group is looking for an Office Admin for their client in San Jose.

Responsibilities
  • Prepare and organize files for scanning.
  • Operate copiers, scanners, and large‑format scanners to digitize documents and oversized plans.
  • Create searchable PDF files using Adobe Acrobat Pro.
  • Perform quality control reviews to ensure documents are scanned accurately, indexed correctly, and saved to designated shared folders.
  • Update and maintain spreadsheets used to track scanned files.
  • File and organize records in office libraries and storage areas.
  • Verify that files reviewed by engineers have been logged in the database and properly organized.
  • Create labels for new file folders and maintain organized records.
  • Maintain office workspace and supply areas.
  • Lift and transport light file boxes between office locations as needed.
Qualifications
  • Level1:
    One (1) year of administrative support experience; equivalent to completion of twelfth grade and a valid California Driver’s License.
  • Level2:
    Three (3) years of administrative support experience; equivalent to completion of twelfth grade and a valid California Driver’s License.
  • Knowledge of office procedures, filing systems, and records management.
  • Proficiency with Microsoft Office applications, particularly Adobe Acrobat Pro and Excel.
  • Basic understanding of document scanning and electronic file management.
  • Experience creating and managing PDF documents preferred.
  • Ability to operate office equipment, including copiers, scanners, and large‑format scanners.
  • Strong organizational and time‑management skills.
  • Excellent attention to detail and accuracy when scanning, indexing, and filing documents.
  • Effective written and verbal communication skills.
  • Ability to organize and maintain both paper and electronic records.
  • Ability to perform repetitive tasks while maintaining a high level of accuracy.
  • Ability to work independently and collaboratively as part of a team.

6‑month contract, part‑time, 20 hours per week.

Level1: $27.28 per hour. Level2: $30.11 per hour.
