About

The Role

We are seeking a highly motivated and results-oriented Executive Assistant to provide comprehensive administrative and operational support to the SVP of Direct Sales. This role is vital in ensuring the smooth functioning of the executive’s daily activities, managing schedules, coordinating projects, and facilitating communication across teams. The ideal candidate will proactively manage calendars, organize meetings, and assist with travel arrangements, ensuring all logistics are handled efficiently.

Additionally, the Executive Assistant will support program coordination for transformation initiatives, prepare presentation materials, and contribute to the organization’s internal communications and documentation efforts. This position offers an exciting opportunity to work closely with senior leadership in a fast-paced environment, contributing to strategic initiatives and operational excellence.

Qualifications
  • Minimum of 2+ years experience supporting executive-level professionals
  • Proficiency in Microsoft Office Suite and Google Workspace
  • Excellent interpersonal and communication skills
  • Strong organizational and time management abilities
  • Ability to multitask, prioritize, and work under pressure
  • Self-starter with strong analytical and problem-solving skills
  • High energy, creativity, and proactive approach to work
  • Experience coordinating travel, meetings, and events
  • Ability to create and proof presentation materials and briefing documents
  • Knowledge of internal communication platforms and project management tools
  • Authorization to work in the United States without visa sponsorship
Responsibilities
  • Manage and maintain the SVP’s calendar, including scheduling meetings, appointments, and travel arrangements
  • Coordinate individual and group travel logistics, including transportation, accommodations, and meals
  • Assist with the preparation of presentations, briefing materials, agendas, and reports for executive meetings
  • Facilitate workflows for review and approval of contracts, invoices, expense reports, and other documents
  • Maintain and update the department Wiki page, organizational charts, team calendars, and distribution lists
  • Develop and distribute organization-wide communications and announcements
  • Plan, organize, and support offsite events, conferences, training sessions, and employee engagement activities
  • Conduct research and compile data to support strategic initiatives and program development
  • Assist in social event planning and coordinate with third-party vendors as needed
  • Collaborate with the assistant community to identify best practices, streamline processes, and improve support efficiency
  • Support leadership and team productivity through centralized program coordination and support activities
