Gurnick Academy is a leading Bay Area private healthcare college offering an extensive variety of Nursing, Allied healthcare, and Imaging programs.
We are currently seeking an Operations Coordinator for our OT Program at our San Jose, CA Campus. This is a ground position working on Campus.
Hourly Pay Range
: $26.00-$30.00/hour

Basic Function:
The Occupational Therapy (OT) Operations Coordinator serves as the center operational resource for the Occupational Therapy programs and is responsible for coordinating the day-to-day academic, operational, admissions and compliance functions that support successful program delivery. Working collaboratively with the Program Director, Academic Fieldwork Coordinators, faculty, Admissions, Registrar, Student Services, Clinical Educators, and other institutional departments, the OT Operations Coordinator ensure efficient program operations, accurate record management, regulatory compliance, and an exceptional student experience.
- Coordinate daily operational activities for the Occupational Therapy program to ensure efficient and effective program delivery.
- Develop, organize, and maintain departmental operational processes and documentation.
- Coordinate program calendars, meetings, events, orientations, advisory board meetings, and faculty activities.
- Prepare agendas, meeting materials, minutes, and follow-up documentation.
- Coordinate classroom, laboratory, and instructional resource readiness in support of faculty.
- Manage inventory of laboratory equipment, instructional materials, and office resources.
- Coordinate purchasing, supply ordering, and equipment distribution.
- Creates & maintains equipment resource management practices in coordination with Gurnick departments.
- Coordinate admissions workflows in collaboration with the Admissions Department.
- Track applicant progress and admission documentation.
- Coordinate admissions interviews, campus visits, Open House events, and prospective student experiences.
- Coordinate Orientation events for incoming students.
- Coordinate student records processes within the OT Department in collaboration with Gurnick departments.
- Support faculty in exam logistics for make-up testing and coordinating tutor schedules as assigned.
- Collaborate with Academic Fieldwork Coordinators to support Level I and Level II Fieldwork operations.
- Coordinate student compliance documentation including immunizations, CPR certification, insurance, background checks, and drug screenings.
Requirements
- Minimum of a Bachelor’s Degree.
- Organizational knowledge of educational institutions.
- One year experience in a similar position is preferable. Preferred experience in higher education, healthcare education, academic operations, student services, admissions, program coordination, or related field.
