General

Position Summary:

The Legal Operations Coordinator provides high-level administrative and operational support by coordinating contract review process, facilitating cross-functional communication, and supporting strategic business initiatives. This role serves as a key liaison between internal departments, customers, and external partners to ensure contracts, projects, and business activities are completed accurately and efficiently. The ideal candidate is highly organized, detail-oriented, exercises sound judgement, and thrives in a fast-paced environment while maintaining confidentiality and professionalism.

Essential Job Functions:

  • Coordinate the contract review process from submission through execution, ensuring timely communication with internal stakeholders, customers, and Sales team.
  • Track contract statuses, deadlines, approvals, and required follow-up actions.
  • Prepare, review, organize, and maintain business, legal, and meeting documentation, including contracts, presentations, agendas, and supporting materials.
  • Communicate contract status updates to the Sales team, customers, legal counsel, and internal stakeholders.
  • Schedule meetings and record action items to ensure timely follow-up.
  • Serve as the primary point of contact for contract-related inquiries and escalations.
  • Maintain organized electronic records and ensure document accuracy and version control.
  • Support corporate strategic initiatives through project coordination and administrative support.
  • Assist with process improvements initiatives to increase efficiency in contract administration and business operations.

Preferred

Experience and Qualifications:

  • Associate’s or Bachelor’s degree in Business Administration, Legal Studies, Paralegal Studies, or a related field preferred.
  • 5+ years of experience in an administrative, legal, contract administration, or corporate support role.
  • Experience managing contract review processes, legal documentation, or coordinating cross-functional projects while maintaining strict confidentiality.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint), with exceptional organizational, time management, and multitasking skills.
  • Excellent written and verbal communication skills, with the ability to build relationships and manage competing priorities in a fast-paced environment.

Physical Requirements:

  • Ability to sit for extended periods while working at a computer.
  • Frequent use of computers, telephones, and other standard office equipment.
  • Ability to communicate effectively in person, over the phone, and through written correspondence.
  • Ability to occasionally lift and carry up to 20 pounds.
  • Ability to move throughout the office to attend meetings and collaborate with team members.
  • Reasonable communications may be made to enable qualified individuals with disabilities to perform the essential functions of the position.
