Program Support Associate (San Jose, CA)
Job Overview:
The Program Support Associate provides program coordination, project tracking, administrative support, and operational assistance for technical and business initiatives. This role is ideal for a highly organized professional with strong communication skills, sound judgment, and the ability to manage multiple priorities in a structured, deadline-driven environment. The successful candidate will support technical teams, program leads, and security leadership by maintaining project documentation, tracking action items, preparing status reports, coordinating meetings, and ensuring program activities are accurately documented and effectively managed.
The role requires familiarity with project management and service management platforms, including Service Now and Jira, as well as strong proficiency with Microsoft Office and collaboration tools. This is a W2 contract position and is not eligible for C2C or W2 referral candidates.
Program & Project Support
- Coordinate project activities, timelines, milestones, deliverables, and follow-up items across assigned programs.
- Maintain project schedules, status trackers, action-item logs, issue logs, meeting notes, and related documentation.
- Track tasks, requests, dependencies, and project commitments to support timely execution.
- Prepare project status updates, management reports, presentations, and briefing materials.
- Monitor deadlines, outstanding actions, and deliverables to support program objectives.
- Identify administrative or process-related issues that may impact project execution and elevate as appropriate.
- Support technical teams and stakeholders with day-to-day program coordination.
- Provide administrative support to technical, program, and leadership teams.
- Schedule meetings, prepare agendas, document meeting minutes, and track follow-up actions.
- Organize and maintain program records, shared files, reports, and documentation repositories.
- Support communications, documentation requests, onboarding activities, access requests, and other operational needs.
- Coordinate with internal departments, external partners, vendors, and other stakeholders as needed.
- Handle confidential and sensitive information with discretion and professionalism.
- Utilize Service Now for request tracking, ticket monitoring, workflow updates, and reporting.
- Utilize Jira or comparable project management platforms to track tasks, issues, technical work streams, and project progress.
- Maintain accurate and current information across project management, ticketing, and reporting systems.
- Create and maintain documents, spreadsheets, presentations, dashboards, and reports using Microsoft Office.
- Utilize Outlook, Word, Excel, PowerPoint, Teams, SharePoint, and other collaboration tools.
- Learn and effectively utilize additional business, technical, and project management systems as required.
- Draft clear, professional communications, reports, summaries, procedures, and project documentation.
- Communicate effectively with both technical and non-technical audiences.
- Translate technical updates into concise, business-level summaries for leadership and stakeholders.
- Coordinate communications across stakeholders to maintain alignment on priorities, deadlines, and deliverables.
- Provide Korean-language communication support, both written and verbal, as business needs require.
Required
- Prior experience supporting technical programs, IT operations, software development teams, enterprise service management, or business operations.
- Experience preparing management reports, executive summaries, presentations, and formal business documentation.
- Strong written communication skills with the ability to prepare clear procedures, summaries, correspondence, and project materials.
- Working knowledge of project management methodologies, including Agile, Waterfall, or hybrid delivery approaches.
- Experience working in a bilingual, multicultural, or international business environment.
- Intermediate to advanced Korean-language communication skills, both written and spoken.
