Job Description
VTA (North Yard) is looking for a self-motivated, punctual candidate who is ready to work in the fast-paced, customer-driven field of timekeeping. The ideal candidate can quickly learn administrative procedures and pay practices derived from various labor contracts. The ideal candidate will demonstrate the ability to assist colleagues within the department as well as across other departments. The candidate is expected to adhere to strict deadlines while managing daily tasks.
The candidate may need to work overtime, including weekends and holidays, based on business needs.
Under the direction of Naunihal Singh, Chief Operating Officer, the Operations Division operates, analyzes, maintains, and manages VTA's bus and rail transit system and facilities. It also oversees contracted shuttle and ADA paratransit services.
Operations consists of the Chief Operating Officer's Administrative unit – Operations Administration – as well as Bus & Rail Transit Operations, Bus & Rail Transit Maintenance, Operations Development, Special Event Service, Facilities Maintenance, Operations Analysis Reporting & Systems, and Regional Transportation Services. Together, Operations comprises 14 functional units:
Operations Administration;
Bus & Rail Transit Operations;
Service Management;
Rail Maintenance;
Bus Maintenance;
Way, Power & Signal Maintenance;
Facilities Maintenance;
Maintenance Engineering;
Warranty & Quality Assurance;
Operations Development;
Regional Transportation Services; and Operations Analysis, Reporting and Systems.
Under general supervision, the Timekeeping Technician compiles and processes pay and attendance records for Bus Operators, Light Rail Operators, and maintenance personnel; and performs other moderately complex and responsible duties as required. This is a journey-level clerical classification. The Timekeeping Technician differs from other clerical classes in that positions in this classification are assigned to a bus or light rail yard, and incumbents specialize in timekeeping and attendance recordkeeping activities specific to Bus Operators, Light Rail Operators, and maintenance personnel.
Incumbents in this class must have a comprehensive knowledge and understanding of clerical processes and procedures, relevant sections of collective bargaining agreements, and the ability to perform a high volume of numerical calculations quickly and accurately.
- Enters, verifies, and maintains records of time worked, overtime, leaves, and absences;
- Tracks and ensures accuracy of State Disability Insurance, Workers’ Compensation, and related timekeeping records;
- Prints and reviews various timekeeping and attendance reports;
- Enters and retrieves personnel, timekeeping, and attendance data in automated computer systems, computer records, and other computer-based information systems;
- Researches, extracts, and compiles data for timekeeping and attendance reports and other documentation;
- Prepares spreadsheets for timekeeping and paycheck adjustments;
- Prepares correspondence, reports, memoranda, lists, and other written materials or documentation using word processing equipment, software, or other electronic office equipment;
- Prepares documents related to discipline processes;
- Proofreads and checks hardcopy documents and computer entries for accuracy, completeness, and compliance with collective bargaining agreements and VTA policies and procedures;
- Sets-up, maintains, and revises filing systems; prepares new file folders, performs filing and file retrieval duties; purges outdated information as necessary;
- Assists employees by answering questions or referring them to the appropriate source of information; distributes forms and assists in their completion; and schedules appointments;
- Researches timekeeping data to resolve discrepancies;
- Receives, sorts, and distributes mail, reports, and other materials; prepares mailings;
- Orders and receives materials, supplies, and equipment; verifies quantity and condition; makes deliveries;
