Work Schedule
: 20 hours per week
Monday - 4 hours - WFH
Tuesday - 4 hours - WFH
Wednesday 4 hours - WFH
Thursday 8 hours - San Jose office - support for career wardrobe program
Compensation
: $28.53 - $30.00 per hour

Position Summary:
We are seeking a dynamic Program Assistant to join our team in a hybrid, full-time capacity on a contract basis. This role is ideal for a bilingual (English/Spanish) professional with a warm personality, strong communication skills, and tech-savviness. The Program Assistant will support scheduling, client communications, and reporting efforts, ensuring a seamless experience for clients and volunteers alike. This is an excellent opportunity to gain valuable experience with the potential for extension or conversion based on performance.

Key Responsibilities:

  • Schedule meetings and conduct follow-up calls with clients to ensure smooth communication.
  • Make certain volunteers receive appropriate information and ongoing communication.
  • Prepare weekly reports detailing the number of appointments booked and overall program metrics.
  • Welcome clients warmly, providing excellent customer service and creating a positive impression.
  • Navigate phone systems, spreadsheets, and email platforms with ease.
  • Maintain organized records and assist with administrative tasks as needed.

Required Qualifications:

  • Bilingual in English and Spanish.
  • Minimum of 2 years of relevant experience in program support, customer service, or a similar role.
  • Strong communication and interpersonal skills.
  • Tech-savvy with proficiency in phone systems, spreadsheets, and email composition.
  • Friendly, welcoming demeanor with a positive attitude.

Preferred

Skills & Experience:

  • Experience working in a community or nonprofit organization.
  • Ability to multitask and adapt to changing priorities.
  • Demonstrated reliability and professionalism in previous roles.
