Job Summary

The Valley Foundation School of Nursing at San José State University is seeking a Project Manager / Clinical Placement Coordinator to support academic scheduling, clinical placement coordination, and student onboarding for undergraduate nursing programs. Reporting to the Director of Resources and Operations for the College of Health and Human Sciences (CHHS), and receiving work direction from the Director of the Valley Foundation School of Nursing, this position works independently under minimal supervision.

The incumbent collaborates closely with the Curriculum Coordinator, Undergraduate Coordinator, and Clinical Scheduler to ensure efficient scheduling, registration, application processing, and compliance with clinical requirements for students and faculty. This position plays a critical role in supporting student success and maintaining strong partnerships with clinical agencies.

Key Responsibilities
  • Coordinate clinical placements and onboarding for undergraduate nursing students, including collecting and submitting required documentation to clinical partners
  • Serve as the primary liaison with hospitals and clinical sites to ensure compliance with onboarding and placement requirements
  • Schedule nursing courses and clinical sections and maintain student and master schedules throughout the academic year
  • Enter and update course, faculty, and scheduling information in People Soft and open Canvas course shells
  • Support student registration, including special session coding, add codes, and communication of registration instructions
  • Reserve classrooms and coordinate space for courses and nursing-related events
  • Communicate scheduling and clinical information to students, faculty, and staff and resolve related issues as they arise
Knowledge, Skills & Abilities
  • Ability to communicate with constituents in a professional and respectful manner
  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures
  • Thorough mastery of English grammar, punctuation, and spelling. Excellent oral and written communication skills
  • Project management skills
  • Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to the work area
  • Working knowledge of academic scheduling policies and procedures
  • Thorough knowledge of CMS/People Soft functionality/reports
  • Ability to research issues related to schedule conflicts
  • Thorough knowledge of People Soft reporting functions
  • Ability to generate and customize reports for semester chairs, director, curriculum coordinator, graduate and undergraduate coordinators
  • Ability to maintain confidentiality and appropriately handle sensitive communications, interpersonal, and confidential situations
  • Demonstrate critical thinking and problem solving and organizational skills
  • Working knowledge of registration processes and deadlines
  • Ability to assess broader perspectives and anticipate the impact of office administration problems and solutions in the front office
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions
Required Qualifications
  • Completion of a high school program, technical/vocational program, or their equivalents
  • Three (3) years of related office work experience
Preferred Qualifications
  • Baccalaureate Degree
  • One (1)–Two (2) years project management / office administration experience

Classification:
Administrative Support Coordinator II
Anticipated Hiring Range: $4,918/month - $5,323/month (Step 7 – Step 11)
CSU Salary Range: $4,367/month - $6,362/month (Step 1 – Step 20)
