What

this job involves:

As a Facility Coordinator at JLL, you'll serve as a vital operational partner supporting our facility management teams in delivering seamless, efficient services to our clients. This role combines hands-on facility operations with financial administration, requiring you to continuously monitor day-to-day facility functions while maintaining precise budget tracking and vendor coordination. You'll work collaboratively with facility managers to ensure smooth operations, from processing invoices and purchase orders to coordinating maintenance activities and providing responsive customer service.

Your organizational skills and proactive approach will help ensure minimal disruption to client environments while supporting the tactical planning and execution of facility management goals.

What

your day-to-day will look like:
  • Assist the Facility Management Team with tactical planning for the team's goals and objectives, contributing ideas and operational insights that drive efficiency
  • Process and track facility-related invoices, purchase orders, and expense reports with accuracy and attention to detail
  • Maintain budget tracking spreadsheets and support accounts payable/receivable activities related to facility operations
  • Provide facility-specific assistance to the project management team as needed or requested, demonstrating flexibility and responsiveness
  • Manage and maintain small facility management tasks as assigned, ensuring timely completion and quality execution
  • Assist with the coordination and scheduling of maintenance activities, working with vendors and service providers to minimize disruption
  • Provide general overall facility management services including continuous monitoring of office/facility operations to identify and address issues proactively
  • Ensure appropriate follow-up with customers, delivering superior service that reflects JLL's commitment to excellence
  • Provide direction and information to vendors, facilities staff, and service providers as required to ensure excellent coordination and execution of work within client environments
Required qualifications:
  • High school diploma or GED
  • 2+ years' experience in facility management, property administration, or office operations
  • 1+ years' experience with accounts payable, invoice processing, or budget tracking
  • Superior customer service skills and orientation with a commitment to responsive, professional communication
  • Advanced proficiency in Excel including formulas, pivot tables, and financial reporting
  • Experience with work order management systems (Corrigo experience preferred)
Preferred qualifications:
  • Experience with accounting software
  • Ability to plan and manage work under time constraints while maintaining quality and accuracy
  • Ability to multitask and work without direct supervision, demonstrating initiative and sound judgment
  • Proficient in MS Office Suite with strong written, verbal, and interpersonal skills
  • Strong organizational skills and collaborative style that supports teamwork across functions
  • Understanding of budget variance analysis and cost tracking

Estimated compensation for this position:

59,400.00 – 72,800.00 USD per year
