Description
The Operations Support Coordinator provides administrative and operational support by processing and maintaining work orders, reviewing order fulfillment documentation, processing item receipts, and supporting general office and operational activities. Work order processing serves as the primary responsibility of this position, with Order Fulfillment QA and Item Receipt serving as secondary support functions.
This position requires strong attention to detail, accuracy, organization, and the ability to follow established processes while recognizing when discrepancies or concerns should be escalated. The Operations Support Coordinator works collaboratively across departments and participates in cross-training to provide additional departmental support and coverage as needed.
Essential Duties and Responsibilities:Work Order Processing – Primary Responsibility
- Review work orders and custom tags for completeness and accuracy.
- Create, release, and maintain work orders within Net Suite.
- Assign appropriate work centers and production routing according to established processes.
- Process material issuance, work order completions, and work order closeout activities.
- Maintain accurate and current work order records within Net Suite.
- Identify and investigate routine work order discrepancies and escalated issues when additional review or guidance is required.
- Follow established work order procedures and maintain supporting documentation as required.
- Review fulfillment documentation for accuracy and completeness.
- Reconcile fulfillment documentation against quantities entered in the applicable system.
- Identify and assist with resolving discrepancies before invoice generation.
- Escalate discrepancies or concerns that cannot be resolved through established processes.
- Process item receipt transactions in Net Suite based on receiving documentation provided by the Shipping & Receiving team.
- Review receiving documentation for accuracy and completeness before processing transactions.
- Assist with identifying and resolving routine receiving discrepancies.
- Escalate discrepancies requiring additional review or correction.
- Provide general administrative support, including filing, mailing, document preparation, and data entry.
- Support special projects and operational initiatives as assigned.
- Participate in cross-training opportunities to support departmental coverage and business continuity.
- Provide support to other departments as workload and business needs allow.
- Maintain organized and accurate records and documentation related to assigned responsibilities.
- Perform other duties and responsibilities as assigned to support departmental and operational needs.
Qualifications:
Education & Experience:
- High school diploma or equivalent required.
- Previous experience with an ERP or business management system preferred but not required.
- Previous administrative, data entry, order processing, operations support, or related experience preferred, but not required.
Competencies:

- Strong computer and data-entry skills.
- Proficiency in Microsoft Outlook, Excel, and Word.
- Ability to learn and navigate Net Suite and other applicable company systems.

- Ability to manage multiple responsibilities and changing priorities.
- Ability to work collaboratively with employees across different departments.
- Dependable follow-through and ability to complete assigned responsibilities within established expectations.
This position primarily operates in an office setting with occasional visits to the shop floor and other operational areas. The employee must be comfortable working in both environments and comply with all applicable safety protocols. When entering operational areas, the employee may be exposed to varying temperatures, machinery noise, dust, and other conditions typical of an industrial manufacturing environment. Required personal protective equipment (PPE) must be worn as applicable.
