Responsibilities

About the Team:
In this role, you will be the core operational engine managing day-to-day U.S. health, welfare, and retirement workflows for a specialized, highly secure workforce. Operating within a uniquely regulated and fast-paced sovereign data environment, you will ensure high data integrity, vendor accountability, and an exceptional employee experience.

You will act as the primary operational link between our workforce and external entities, balancing highly meticulous data auditing with high-touch employee care. This role requires rapid context-switching as you move from granular financial and file-feed reconciliations to managing high-stress benefits escalations, executing open enrollment cycles, and partnering cross-functionally with payroll and compliance teams to preserve system logic and regulatory alignment.

  • Core Benefits Administration:
    Lead the day-to-day execution of U.S. benefits life cycles, accurately processing new-hire enrollments, qualified life events, dependent modifications, status updates, and termination offboarding within our core systems.
  • Employee Escalation Management:
    Serve as the front-line tier-2 subject matter expert for complex employee inquiries, systematically driving high-sensitivity benefits disputes and claims escalations to resolution with brokers, carriers, and internal partners.
  • Vendor & Carrier Coordination:
    Oversee routine operational relationships with benefit brokers, insurers, and third-party administrators to ensure seamless service delivery, adherence to SLAs, and timely resolution of platform errors.
  • Financial & Data Reconciliation:
    Execute regular audits of eligibility files, payroll deductions, carrier invoices, and vendor billing sheets. Proactively investigate structural data discrepancies and coordinate swift corrective adjustments.
  • Open Enrollment Execution:
    Direct the end-to-end operational readiness of annual open enrollment cycles, leading system configuration testing, drafting localized communications, providing employee instructional guidance, and running post-enrollment data validation loops.
  • System Integrity & Workflows:
    Partner closely with HRIS, payroll, and technical integration teams to manage automated file feeds, validate system updates, resolve configuration bugs, and deploy practical workflow improvements.
  • Regulatory Compliance & Audits:
    Coordinate compliance tracking activities, ensuring the timely distribution of statutory notices, managing data collection for benefits audits, and archiving required documentation alongside legal and brokerage teams.
  • Knowledge Architecture & Documentation:
    Own and optimize standard operating procedures (SOPs), internal FAQs, and employee-facing knowledge-base portals to ensure administrative consistency and transparent, self-serve communications.
  • Pragmatic Root-Cause Analysis:
    Analyze recurring operational bottlenecks and system interface drops to recommend data-led, scalable modifications that increase process accuracy and employee satisfaction metrics.
Qualifications

Minimum Qualifications:

  • Benefits

    Experience:

    3+ years of dedicated experience in U.S. benefits administration, benefits operations, or closely aligned HR operations environments.
  • Vendor & Lifecycle Execution:
    Proven track record of managing day-to-day carrier workflows, processing complex billing reconciliations, and supporting full-cycle open enrollment sprints.
  • Systems & Data Fluency:
    Deep, hands-on familiarity with enterprise HRIS platforms (e.g., Workday, ADP) and advanced Excel capabilities (VLOOKUPs, pivot tables, data auditing strings) with strict attention to data hygiene.
  • Compliance Orientation:
    Practical working knowledge of U.S. benefits regulations (ERISA, COBRA, HIPAA, ACA) and a demonstrated baseline of handling highly sensitive, confidential employee information with sound judgment.
  • Preferred Qualifications:
  • Hyper-Growth or Tech Exposure:
    Experience operating in-house within a high-velocity technology, SaaS, or highly matrixed organization.
  • Regulated Environment

    Competency:

    Experience navigating strict data compliance, information security constraints, or isolated corporate entities (e.g., sovereign clouds, defense, or government-adjacent corporate structures).
  • Process Automation Mindset: A track record of transforming manual administrative workflows or tracking sheets into highly automated, documented corporate procedures.
