What You'll Do Discovery & Workflow Assessment
- Conduct a comprehensive review of current scheduling workflows, standard operating procedures, and Epic Cadence configurations.
- Perform stakeholder interviews with operational, technical, training, and compliance teams.
- Document current-state ("as-is") workflows, process handoffs, pain points, and data flows.
- Evaluate technical and operational constraints impacting scheduling performance.
- Develop gap analyses and prioritized recommendations for improvement.
- Facilitate workshops to capture business and technical requirements.
- Define success criteria, acceptance requirements, and key performance measures.
- Develop multiple solution options, including quick-win opportunities and longer-term strategic improvements.
- Present recommendations, implementation approaches, timelines, and risk considerations.
- Design future-state ("to-be") scheduling workflows and process maps.
- Configure Epic Cadence functionality to support redesigned workflows.
- Update system settings, roles, permissions, and scheduling configurations as needed.
- Create and execute testing plans, including configuration validation and unit testing.
- Coordinate User Acceptance Testing (UAT) activities and incorporate stakeholder feedback.
- Partner with training and instructional design teams to support role‑based training development.
- Assist in creating job aids, quick‑reference guides, knowledge base articles, and training materials.
- Support instructor‑led training sessions and train‑the‑trainer activities.
- Develop post‑go‑live support plans and adoption strategies.
- Support implementation planning, including cutover activities, communications, risk mitigation, and rollback planning.
- Provide onsite go‑live support.
- Monitor adoption metrics, workflow effectiveness, and issue resolution.
- Document lessons learned and recommendations for ongoing optimization.
- Active Epic Cadence Certification (required).
- Epic Referrals certification or experience preferred.
- Experience supporting Epic scheduling workflows within healthcare environments.
- Strong experience performing workflow analysis, system assessments, and business process improvement initiatives.
- Experience gathering requirements and translating business needs into Epic configurations.
- Hands‑on experience with Epic build, testing, implementation, and optimization activities.
- Experience creating test plans, executing testing, and facilitating User Acceptance Testing.
- Ability to investigate, analyze, and resolve workflow and system issues.
- Experience developing Epic reports, dashboards, or working with reporting teams to support operational decision‑making.
- Strong documentation and process improvement skills.
- Ability to manage complex projects and competing priorities.
- Excellent stakeholder engagement and facilitation skills.
- Experience leading meetings, workshops, and cross‑functional discussions.
- Strong written and verbal communication skills.
- Ability to work independently with minimal supervision.
- Strong customer service and relationship management skills.
- Experience supporting healthcare operations in highly regulated environments.
- Experience with scheduling optimization initiatives.
- Experience working across multiple facilities or complex operational settings.
- Familiarity with change management, user adoption, and training initiatives.
- Experience supporting large‑scale Epic workflow redesign and implementation projects.
This role includes both remote and onsite responsibilities.
Candidates should be able to:
- Travel between designated facilities as needed.
- Participate in onsite workflow assessments and stakeholder meetings.
- Provide onsite implementation and go‑live support.
- Pass required background screening and facility clearance requirements.
Anticipated onsite commitments include:
- Approximately 2–3 weeks during the initial discovery and assessment phase.
- Approximately 1–2 weeks during go‑live and stabilization activities.
Hybrid / Remote with Required Onsite Travel
