Rental Manager

Seeking a qualified Rental Manager who is performance driven, able to manage a team, organized, reliable, and has a strong work ethic. The Rental Manager is responsible for ensuring customers receive the best possible experience with our Rental department and that the Rental department is operating efficiently and profitably. Must be able to professionally communicate with customers, vendors, and the Rentals team.

Should be knowledgeable about truck and fleet preventative maintenance services and schedules. Should also have knowledge and previous experience in either trucking, logistics, or automotive lease and rental industries.

The Rental Manager is responsible for operating the Rentals department at maximum production, controlling costs, building a loyal clientele, maintaining good employee relationships, striving to obtain sales and profit objectives, and maintaining proper operational, financial, and fleet service records. Additional detailed duties and responsibilities of the Rental Manager include:

Management Duties
  • Opening / closing the Rental Department and associated areas of facility daily
  • Ensuring trucks and vehicles are ready to go on rent in advance of each reservation
  • Ensuring department is always providing excellent customer service
  • Interacting with customers to ensure customer needs are met, receiving customer feedback for improvement, and looking for additional opportunities to sell rental and leasing services
  • Handling customer complaints and upset customers, resolving issues in an amicable, fair, and professional manner
  • Fostering harmony and teamwork within the team and with all other departments
  • Updating upper management frequently of department performance, successes, challenges, and issues
Personnel Duties
  • Direct and schedule the activities of all department employees, including lunches, breaks, and days off
  • Review and submit employee timecards weekly
  • Ensure rental employees are staying on task and working on productive items
  • Train, motivate, counsel, and monitor the performance of rental department staff
  • Conduct meetings with department employees to discuss activities, objectives, and issues regarding the department’s operations
  • Conduct department employee performance reviews
Rental Counter & Fleet Duties
  • Regularly review reservations and fleet availability to properly plan for demand and capacity and work towards maximizing utilization
  • Use Samsara (GPS) to track vehicles, check maintenance schedules, etc.
  • Process monthly rentals and invoices
  • Work with body shop, fleet coordinator, and/or vendors to prepare damage estimates and take charges for them
  • Review and update overdue Rental Agreements to either extend or close them
  • Coordinate with Fleet Coordinator for servicing and repairing rental/lease vehicles
  • Work with Fleet Coordinator to open repair orders (ROs) for rental and lease vehicle maintenance and repairs
  • Work with Fleet Coordinator to update and close ROs for rental and lease vehicles
  • Open purchase orders (POs) for vendor sublet work
  • Invoice and process POs once sublet work is complete
  • Follow up with lease customers to bring in vehicles for monthly inspections and services
  • Ground / unground fleet vehicles as required to maintain accurate and current fleet availability
Additional General Duties
  • General overall department vendor and facilities management – uniforms, Safety-Kleen, supplies, equipment inspections, cleaning, etc.
  • Open miscellaneous POs for general vendor work and/or purchases
  • Invoice and process miscellaneous POs
  • Coordinate with Union City rental department for vehicle transfers, etc.

Qualifications
  • Education and/or experience equivalent to a Bachelor’s Degree in Business, Management, or related field
  • 5+ years of management experience managing teams of at least 5 or more people
