Overview

This position is expected to oversee the weekly maintenance operations for a specific portfolio of accounts.

Structure

Full-time, exempt. Reports to Operations Manager.

Functional

Roles and Responsibilities

In addition to mastering all Maintenance Crew Member and Crew Leader functional roles and responsibilities:

Morning of:

  • Arrives at yard 15 minutes before dispatch.
  • Checks in with Superintendent regarding schedule for the day.
  • Organizes punch lists, other lists of information and photos to hand out to crews during dispatch.
  • Announces the start of the day and bring team together for warmups.
  • Observes team members during warmups to pick up on anyone unable to perform or unwilling.
  • Pulls employee to the side and address with Superintendent.
  • Makes quick announcement about positive feedback or constructive opportunity to improve.
  • Meets with Crew Leaders to discuss routes, specific tasks, or special projects for the day.
  • Ensures crews leave with all proper equipment, securely tied down.
  • Confirms they have Round Up, string line, burlaps, wheelbarrow (if needed) etc.
  • Locks up containers and gates.

Day of:

  • Able to assign tasks to crew members and follow-up after they are completed to make sure the work was completed properly.
  • Ensure that all crew members report to work on time and follow all company rules and procedures. Takes appropriate disciplinary actions as necessary.
  • Communicates with crew leader each morning about the plan for each property.

Afternoon of:

  • Arrives back to yard 15 minutes ahead of scheduled crew arrival.
  • Opens gates, moves vehicles out of yard to prepare for arrival.
  • Ensures work trucks and trailers are organized and cleaned at least once per week.
  • Directs traffic upon arrival - instruct “extra” crew members to assist with other crews, returning equipment to containers, spraying weeds in the yard, picking up trash, watering nursery plants, washing spare vehicles, sharpening mower blades, replacing material used for the day (string line, Round Up, etc.).
  • Schedules workload for personnel in their area in the afternoon for the next workday.
  • Ensures that all materials and tools are ready to be loaded on the truck in the afternoon for the next day’s work schedule.
  • Inspects each job site weekly or bi-weekly and maintain a punch list with priorities on it to aid in making schedules. o Look out for possible trimming areas
  • Spray weeds
  • Look to see where cleanup is needed, within the quadrant
  • Start with priority areas:
    Office space, pool area, main entrances, or walkways
  • Identifies enhancement opportunities and communicates necessary information to complete a thorough proposal (labor, materials, photos, etc.) to CSS and Operations Manager
  • Meets with Account Supervisor/CSS each week to review the past week and plan for the following week.

Equipment and Tool Operation/Use

  • Oversee and manage operation and use of landscaping equipment and tools
  • Ensure that all tools and equipment are in good working condition and repair or replace as needed.

General
:

  • Identifies ways to be more efficient onsite and communicates this to the crew leader.
  • Can organize their time and schedule work crew to be efficient.
  • Clearly communicates via text, phone call or email issues, problems, or questions in a timely manner.
  • Communicates with the team kindly and effectively.
  • Immediately follows up to Operations Manager and appropriate Management Team Member with photos and recommendations, questions or comments pertaining to reviewed or completed work orders.
  • CC’s Operations Manager on all client emails
  • Demonstrates ability to prioritize, re-organize as needed and plan for next week’s service.
  • Schedule site walks two weeks in advance via Outlook calendar and invite Operations Manager
  • Walks properties listed under their responsibility at least one time, fully, every other week at minimum.
  • Develops punch list using app and/or paper map to indicate specific actions needed by crew at each property.
  • Develops shared note or email with Operations Manager and CSS with questions, items to share with PM, enhancement opportunities, etc.
