Overview
Ultimate Staffing is actively seeking a dedicated and experienced Document Control Manager for a full-time, on-site role located in San Jose, California. This position leads the implementation of the Arena Document Management System and ensures compliance with company policies, procedures, and international quality system standards, specifically ISO 9001. The candidate will help prepare the organization for ISO 9001 certification audits and coordinate third-party product testing for the safety and transportation of company products.
Responsibilities- Manage the Arena Document Management System and train employees on its use.
- Oversee documentation and implementation of the quality management system to ensure compliance with customer, regulatory, and corporate policy standards.
- Lead cross-functional efforts to prepare the Quality System for ISO 9001 certification.
- Supervise the technical documentation function, including SOPs, drawings, Bills of Materials, parts list specifications, records management, and engineering change orders.
- Review change order submissions for completeness and accuracy, ensuring compliance with documentation standards.
- Verify compliance, completeness, and accuracy of documents.
- Resolve discrepancies with document originators and approvers, applying necessary changes.
- Collaborate with Change Order Implementers to evaluate impacts on Bills of Materials (BOM), revisions, and linked documents.
- Establish and manage document review processes.
- Establish RMA (Customer Returns) logging, tracking, and weekly status reporting.
- Release, revise, and obsolete documents, distributing controlled soft copies to suppliers and CMs.
- Track and report supplier quality to ensure desired performance levels.
- Coordinate internal, customer, and third-party quality system audits; maintain a corrective action system for nonconforming conditions and complaints.
- Coordinate regulatory submissions and product approvals, assessing the impact of design changes on regulatory status.
- Bachelor's Degree and experience with QMS document control systems.
- Minimum of 7 years in a document management and/or change order environment in a high-technology setting.
- Familiarity with the Arena Document Management System.
- Five years of experience with Office Suite programs (Word, Excel, PowerPoint & Outlook).
- Strong attention to detail when reviewing drawings and/or document revisions.
- Excellent written, verbal, and interpersonal communication skills.
- Manufacturing environment knowledge, including ERP/MRP/Arena and ISO Auditor experience.
- Highly organized team player with strong time management skills.
Monday through Friday, first shift.
BenefitsThe position offers a competitive salary ranging from $90,000 to $125,000 per year. This role is a supervisory position, providing an excellent opportunity for career advancement.
