Location: San Juan Capistrano, CA (Onsite)
Compensation: $80,000 – $90,000 (DOE)
Status: Full-Time, Exempt

About the Opportunity

We are seeking an energetic, highly organized Executive Administrative Assistant to provide high-level support to our Chief Legal Officer and our in-house Legal & Risk Management Team. In this dynamic role, you will serve as a critical force-multiplier, enhancing leadership productivity and ensuring seamless communication across our staff, external partners, and field affiliates. Job Duties and

Responsibilities include:
  • Chief Legal Officer/General Counsel.
  • Act as first contact and liaison for general legal questions, issues and problems raised by field personnel, Service Center employees, and residents or their family members.
  • Act as first contact and liaison for outside counsel, opposing counsel, and representatives of State and Federal regulatory agencies.
  • Prepare correspondence, calendaring, travel arrangements, file management and other traditional executive assistant duties.
  • Responsible for collecting and organizing a high volume of data and information, and maintain relevant databases.
  • Gather and analyze data and prepare reports as requested by General Counsel.
  • Manage docketing, filings of briefs with exhibits, notifications, communications and other such matters related to facility/agency/service line regulatory affairs.
  • Support other team members as needed with litigation, regulatory and risk management responsibilities.
  • Participate in communications with federal and state agencies, insurance companies and other such persons and entities.
  • Manage the calendar of the General Counsel, with special attention to deadlines.
  • Other tasks and duties as assigned and as related to the operation of the Legal and Risk Services Team.
Qualified Candidates must have:
  • Minimum two years’ Executive Assistant or Legal Assistant experience required.
  • College Degree (AA or better) from an accredited Institution.
  • Superior customer service, communication, and organizational skills.
  • Superior computer skills. Adept at MSWord, Excel & PowerPoint. Proficiency with Adobe Acrobat Pro is a plus.
  • Prior legal/litigation and regulatory experience is preferred.
