Clinic Administrative Assistant (To support CMO & Medical Director)
Join our growing community clinic in San Leandro! Under the direction of the Medical Director and Chief Medical Officer, the Administrative Assistant performs a variety of administrative duties in support of the clinic leaders and clinic operations.
Responsibilities- Performs a variety of administrative support tasks, including routine and confidential tasks, reports and communications to internal and external stakeholders, maintain files and records, tracking and updating data, preparing presentation materials, and performing special projects.
- Coordinate and attend meetings and trainings, including calendar invites, in-person and virtual logistics, agendas, materials, taking minutes, and tracking to ensure timely follow-up of meeting action items.
- Create and update spreadsheets, charts and graphs.
- Coordinate provider credentialing committee meetings for Medical Director/CMO, including scheduling meetings, gathering and distributing materials, taking minutes, and ensuring the files are complete with all signatures.
- Assist with updating policies, workflows and other documentation.
- Assist with preparing monthly board reports, and other committee reports and presentation materials.
- Assist with remote and onsite audits and reviews, including pre-audit preparation activities, gathering and organizing required items, updating materials, sending communications and updates, and other supportive tasks.
- Assist with special projects and clinic initiatives as assigned.
- Other duties as assigned.
- 2 years strong administrative experience in a healthcare setting
- Strong computer skills using Word, Excel, Power Point and Outlook
- Experience gathering, updating tracking data
- Experience creating spreadsheets, charts and graphs
- Detail oriented with excellent organizational skills
- Strong judgment and analytical skills
- Excellent written and verbal communication skills
- Motivation to take initiative to ensure all tasks performed are complete, timely and accurate
