Job Summary
The Cal Poly, SLO’s Facilities Department is seeking an emergency hire employee to provide high-volume purchasing and data-entry support for supplies, materials, equipment, and services.
The successful candidate will enter, review, and process purchasing-related information in multiple computer systems, including an integrated workplace management system, procurement system, and credit-card reconciliation system. This position requires strong attention to detail, efficiency, sound judgment, and a commitment to excellent customer service.
Key responsibilities include:
- Entering and maintaining accurate purchasing, vendor, work order, and payment information.
- Reviewing requests and supporting documentation for completeness, accuracy, appropriate approvals, and potential errors before processing.
- Assisting Facilities staff with purchasing-related questions and following up on missing or incorrect information.
- Learning and using multiple software programs and established facilities procedures.
- Organizing electronic records and maintaining clear documentation.
- Communicating professionally with campus customers, vendors, and departmental staff.
- Managing assigned work independently, prioritizing competing requests, and meeting deadlines in a high-volume environment.
Desired qualifications:
- Experience with data entry, purchasing, accounts payable, procurement, or administrative support.
- Ability to quickly learn and accurately use multiple computer programs.
- Strong attention to detail and ability to identify discrepancies before transactions are processed.
- Demonstrated ability to work efficiently while maintaining accuracy in a fast-paced environment.
- Excellent customer-service, communication, and follow-up skills.
- Ability to work independently, exercise discretion, and manage priorities with minimal supervision.
- Proficiency with Microsoft Office, particularly Excel and Outlook, preferred.
Education and Experience
- High school diploma or its equivalent. Type 45 wpm. Three years of general office support experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience.)
Anticipated Hiring Range:$20.57 - $22.71 per hour
Classification Range:$20.57 - $29.38 per hour
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Anticipated Hiring Range referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Classification Range may be broader than what the University anticipates paying for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
