Office Administrator/ Coordinator
The Executive Administrative Coordinator serves as central office support across multiple Administration and Finance leadership portfolios and is responsible for complex scheduling and meeting coordination, executive communications and materials, travel, procurement and financial processing, committee support, recruitment and onboarding logistics, records and information management, and special administrative projects. The incumbent is expected to anticipate administrative needs, independently prioritize and coordinate competing demands, maintain continuity across leadership areas, and ensure timely follow-through.
DepartmentSummary
Administration and Finance provides strategic leadership and operational support for key university functions, including financial services, facilities and operations, housing, public safety, ITS, and administrative services. The division works collaboratively across campus to ensure effective resource stewardship, responsive service, and a strong operational foundation for Cal Poly’s academic mission.
Key Qualifications- Demonstrated experience providing high-level administrative support in a fast-paced environment.
- Strong organizational and time-management skills, with the ability to manage multiple priorities and time-sensitive deadlines.
- Excellent written and verbal communication skills, including the ability to prepare and edit professional correspondence and meeting materials.
- Ability to exercise sound judgment, discretion, and confidentiality when handling sensitive information.
- High school diploma or its equivalent. Type 45 wpm. Three years of general office support experience involving a wide variety of duties and responsibilities. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience).
Anticipated Hiring Range:$63,000-$75,000 annually
Classification Range: $46,416 - $80,448 annually
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Anticipated Hiring Range referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Classification Range may be broader than what the University anticipates paying for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
