- Prior experience supporting payroll operations, strong attention to detail, proficiency with payroll systems and Excel, and a working knowledge of wage and tax compliance requirements.
The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.
Job Duties Customer Service Support- Serves as the first point of contact for the department by welcoming visitors, answering incoming calls, and responding to payroll inquiries.
- Assists employees by researching and resolving payroll and tax-related questions.
- Manages incoming and outgoing mail, ensuring timely distribution and delivery.
- Facilitates employee access to the Customer Service area in JCK 516, where a computer and printer are available for use with the SAP Portal, Daily Pay, and Sprintax platforms.
- Assist employees with the SAP Portal (pay statements and direct deposit), Daily Pay (EWA program) and/or Sprintax (tax determination system).
- Functions as the department’s Time Administrator, overseeing timekeeping processes and ensuring accuracy.
- Reviews and monitors departmental budget reports to support financial oversight.
- Manages vendor invoices and service contracts for timely processing and compliance.
- Oversees procurement of office supplies and maintains inventory.
- Maintains the department’s filing system and ensures compliance with the university’s records retention schedule.
- Tracks project deadlines, monitors progress, and supports departmental initiatives.
- Ensures proper functioning of office equipment and coordinates maintenance as needed.
- Will serve as a backup for payroll processing, ensuring continuity of operations during absences or peak periods
- Responsible for properly maintaining and processing payroll records and reports for accounting of salary/wages due, deductions accruals and other payroll functions.
