Administrative Assistant II
The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.
Responsibilities- Serves as the primary SLAC reception and point of contact for students, faculty, staff, and guests
- Oversees administrative facets of the hiring and separation process for all SLAC positions, including serving as hiring administrator for professional staff searches
- Supplements existing administrative support to Academic Engagement
- Manages purchases related to office operations
- Provides holistic operational and logistical support for departmental events and initiatives
- Handles administrative and clerical support of SLAC, including focused meeting assistance for the SLAC Director
- Manages all facets of travel for SLAC personnel
- Functions as a member of the professional staff team by attending meetings, making referrals to appropriate campus resources, assisting with training programs for all SLAC student workers, promoting SLAC by speaking to students, faculty and staff about SLAC, and representing SLAC at institutional and division events
- Familiarity with general reception work (opening / closing an office, answering phones, taking messages, referring guests to resources, etc.)
- General principles of bookkeeping
- Close and accurate attention to detail
- At least 1 year of direct administrative support and serving as front-line reception staff in a professional office environment
- Experience with organization, prioritization, and time management, and ability to meet deadlines in a fast‑paced environment
- Experience reading, interpreting, understanding, and applying verbal and written instructions, task‑related documentation, and policies and procedures
- Experience with Office 365 programs, particularly Word, Excel, Teams, and Share Point
- Ability to work as part of a team under moderate supervision
- Ability to work effectively and courteously with co‑workers, staff, faculty, and students
- Ability to multitask, prioritize tasks effectively, and meet deadlines within a fast‑paced environment
- Ability to prepare clear, concise, and grammatically correct correspondence and documents
- Ability to read, interpret, understand, and apply verbal and written instructions, task‑related documentation, and applicable policies and procedures
- Ability to utilize a personal computer and Microsoft Office Suite
- Ability to perform basic mathematical calculations
- Familiarity with TXST through employment
- Experience using Concur Travel or supporting travel processes
- Exposure with Banner and SAP in support of completion of PCRs
- Bachelor’s Degree
- 1+ year of supervision experience
