Position Summary

The Residential New Construction HVAC Estimator / Manager is responsible for estimating, bidding, planning, coordinating, and managing residential new construction HVAC projects from initial plan review through project completion.

This position works closely with homebuilders, general contractors, field installation teams, purchasing, vendors, and branch leadership to ensure HVAC systems are properly designed, accurately estimated, installed according to plans and specifications, and completed within established labor, material, quality, and profitability expectations.

The ideal candidate has strong residential HVAC knowledge, understands new construction processes, and can effectively manage both the technical and financial aspects of HVAC projects.

Essential Duties and Responsibilities
  • Review residential construction plans, mechanical drawings, specifications, and builder scopes of work.
  • Prepare accurate estimates for HVAC equipment, ductwork, materials, accessories, labor, permits, subcontractors, and other project costs.
  • Perform or coordinate load calculations, equipment selections, and duct system design as required.
  • Select appropriate HVAC systems based on building design, load requirements, efficiency standards, builder specifications, and applicable codes.
  • Develop HVAC proposals and bids that meet company gross margin and profitability expectations.
  • Maintain current equipment, material, and labor pricing used in estimating.
  • Review awarded projects for accuracy before ordering equipment or releasing work to the field.
  • Create project scopes and installation requirements for field teams.
  • Coordinate rough-in, trim, startup, inspection, and final completion schedules with builders and field supervisors.
  • Monitor builder construction schedules and adjust HVAC scheduling as needed.
  • Coordinate equipment and material purchasing to ensure products are available when required.
  • Review jobsite conditions and resolve installation conflicts involving framing, electrical, plumbing, duct routing, equipment placement, or other trades.
  • Manage change orders and ensure additional work is properly priced, approved, documented, and billed.
  • Verify that installations comply with company standards, manufacturer requirements, approved plans, local codes, and builder specifications.
  • Coordinate permitting and inspection requirements when applicable.
  • Monitor labor hours, equipment costs, material usage, and overall project profitability.
  • Compare estimated job costs to actual costs and investigate significant variances.
  • Identify opportunities to improve installation efficiency, reduce material waste, and improve gross margin.
  • Review project completion documentation and support timely billing and job closeout.
  • Maintain accurate records of bids, estimates, plans, pricing, change orders, and project documentation.
  • Develop and maintain strong working relationships with builders, general contractors, vendors, suppliers, and internal departments.
  • Respond promptly to builder concerns, scheduling changes, warranty issues, and project questions.
  • Assist branch leadership with forecasting residential new construction revenue, backlog, staffing, and material needs.
  • Support the development and implementation of standardized estimating, installation, and project-management processes.
Qualifications
  • Residential new construction HVAC estimating or project-management experience strongly preferred.
  • Strong knowledge of residential HVAC systems, including heat pumps, split systems, furnaces, air handlers, mini-splits, zoning systems, ventilation, and indoor air quality products.
  • Experience reading residential construction plans, mechanical drawings, specifications, and scopes of work.
  • Knowledge of HVAC load calculations, equipment sizing, airflow, duct sizing, and system design.
  • Understanding of applicable HVAC, mechanical, energy, and residential building codes.
  • Knowledge of HVAC job costing, labor productivity, gross margin, and project profitability.
  • Strong computer skills and ability to use HVAC estimating, load calculation, CRM, project-management, and scheduling software.
  • Proficiency with Microsoft Excel, Outlook, and related business applications.
