This role combines administrative responsibilities with human resources tasks to support the smooth operation of the front desk and the efficient management of our HR functions. The ideal candidate will be highly organized, detail‑oriented, and able to handle a variety of tasks with professionalism and discretion.
General Responsibilities- Provide general administrative support to ensure the smooth operation of the front desk
- Serve as the primary point of contact for incoming calls, emails, and visitors, directing inquiries as needed.
- Assist with scheduling flights, hotels, and other travel‑related functions as needed for employees and/or visitors.
- Handle incoming and outgoing mail and distribute it into appropriate mailboxes
- Manage office supplies inventory, including ordering, stocking, and organizing supplies as well as maintaining appropriate inventory of coffee and coffee supplies
- Assist with organizing company events, employee engagement programs, recognition initiatives, and culture‑building activities
- Assist with the administration of the Wellness program
- Support HR communications, including drafting announcements, producing a monthly newsletter and maintaining HR‑related information on Share Point
- Assist with the recruitment process, including posting job openings, and scheduling interviews
- Coordinate new hire onboarding activities, including preparing paperwork, preparing orientation slides, and scheduling department Meet N Greets
- Assist with benefits administration, including enrollment, changes, and inquiries
- Performs other duties as requested by the Director of Human Resources
- High School Diploma required, additional HR course work is a plus
- Proven experience in an administrative role, preferably with exposure to human resource functions
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills, including the ability to draft clear employee communications
- Ability to handle sensitive and confidential information with discretion
- Proficiency in MS Office (Excel, Word, PowerPoint, and Publisher)
- Familiarity with HR software and systems (HRIS and ATS) is a plus
- Experience coordinating employee events is preferred
