Job Description

The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.

Job Duties Customer Service Support
  • Serves as the first point of contact for the department by welcoming visitors, answering incoming calls, and responding to payroll inquiries
  • Assists employees by researching and resolving payroll and tax‑related questions
  • Manages incoming and outgoing mail, ensuring timely distribution and delivery
  • Facilitates employee access to the Customer Service area in JCK 516, where a computer and printer are available for use with the SAP Portal, Daily Pay, and Sprintax platforms
  • Assists employees with the SAP Portal (pay statements and direct deposit), Daily Pay (EWA program) and/or Sprintax (tax determination system)
Operational Support
  • Functions as the department’s Time Administrator, overseeing time‑keeping processes and ensuring accuracy
  • Reviews and monitors departmental budget reports to support financial oversight
  • Manages vendor invoices and service contracts for timely processing and compliance
  • Oversees procurement of office supplies and maintains inventory
  • Maintains the department’s filing system and ensures compliance with the university’s records retention schedule
  • Tracks project deadlines, monitors progress, and supports departmental initiatives
  • Ensures proper functioning of office equipment and coordinates maintenance as needed
Backup Support
  • Will serve as a backup for payroll processing, ensuring continuity of operations during absences or peak periods
  • Responsible for properly maintaining and processing payroll records and reports for accounting of salary/wages due, deductions accruals and other payroll functions
