Required Qualifications- High school diploma or equivalency.
- Ability to manage multiple deadlines, tasks, projects, and assignments with minimal supervision.
- Experience with budget management/reconciliations.
- Ability to develop and maintain accurate and comprehensive records and files.
- Effective writing and speaking skills.
- Experience with computer software (Microsoft suite) and database management platforms.
- Bachelor’s degree.
- 1-2 years’ experience in complex secretarial or administrative work in a fast‑paced environment.
- Experience working with federally funded programs or projects.
- Bilingual candidates with Spanish proficiency.
- Experience working with excel and or SAP to reconcile budgets, enter Purchase orders, requisitions, and other financial documents.
This is a grant funded position; continuation of this position is contingent upon grant funding.
Reports to the Student Support Services (SSS) Traditional and STEM Director.
The Grant Senior Secretary performs a variety of confidential and complex administrative duties requiring independent judgment and initiative in support of the Director and program staff.
May be required to work occasional nights and weekends. This position is in‑person on the San Marcos campus.
Job Duties- Provide administrative support to program staff to include participant recruitment, selection, and service delivery.
- Assist Director with reconciliation of program budgets. Submit monthly budget reports.
- Maintain program files and review for completeness.
- Assist program staff with maintenance of program database.
- Adhere to and provide feedback on policies and procedures to ensure efficient office/program operations.
- Perform other duties as assigned.
