Position: PARTS DEPARTMENT ADMIN

Chuck Nash Auto Group is seeking a highly organized and detail-oriented Parts Department Manager Admin to support the daily operations of our Parts Department. This position plays a vital role in keeping the department running efficiently by providing administrative support to the Parts Manager, maintaining accurate records, coordinating processes, and assisting with inventory and vendor communications.

Responsibilities Provide administrative support to the Parts Manager and Parts Department staff.

Maintain and organize department files, reports, and documentation.

Assist with processing purchase orders, invoices, credits, and vendor paperwork.

Monitor and reconcile parts invoices and assist with accounting-related tasks.

Help maintain accurate inventory records and assist with inventory audits.

Prepare daily, weekly, and monthly reports.

Coordinate warranty and return documentation as needed.

Answer department phone calls and direct inquiries appropriately.

Communicate with vendors regarding orders, shortages, and returns.

Assist with scheduling meetings, training, and department communications.

Maintain confidential employee and department information.

Perform general office duties including filing, scanning, copying, and data entry.

Support special projects and other administrative duties as assigned.

Qualifications Previous administrative or office experience required.

Automotive dealership or parts department experience preferred.

Strong computer skills, including Microsoft Office (Excel, Word, Outlook).Excellent organizational and time management skills.

Strong attention to detail with the ability to multitask.

Professional communication and customer service skills.

Ability to work independently while supporting a busy team.

Experience with dealership management software is a plus.
