Administrative Assistant III
The Administrative Assistant III provides administrative and clerical support to program chairs, department chairs, deans, or directors.
Job duties include developing course schedules for faculty, overseeing registration activities, monitoring course enrollments, overseeing hiring procedures, maintaining candidate files, preparing new hire packets, overseeing departmental budgets, submitting PCRs for all salaried departmental hires, preparing documents, assisting departmental advisor with course substitutions, acting as liaison between chair and students/faculty, acting as liaison and providing leadership with other administrative assistants and technical staff in the department, acting as liaison with program faculty, directors, and coordinators, serving as time administrator as needed for staff, faculty, and graduate assistants, coordinating/planning annual departmental events, and developing and maintaining a filing and tracking system for general correspondence, employment inquiries, and faculty personnel files.
Required qualifications include basic math skills, ability to prioritize own workload as various deadlines change during the semester, ability to use the following University systems:
Internet Native Banner (INB); SAP; SSB;
Logi, and demonstrated skills in effective communication, both orally and in writing, with various university offices, as well as with faculty, staff, and students.
Preferred qualifications include ability to develop semester schedules for 100+ faculty and assign classroom and office space, ability to act as office manager, ability to assist program faculty, directors, and coordinators in completing tasks, and ability to propose and develop needed projects to streamline departmental processes.
