Job Description

The Texas State University Budget Office is seeking a detail-oriented professional to coordinate the creation, maintenance, and validation of financial master data within the university’s SAP environment.

This is an entry-level position primarily responsible for the coordination and execution of the setup and ongoing maintenance of financial and organizational structures (such as funds, cost centres, and fund centres) and ensuring data accuracy, consistency, and compliance with established standards.

This position is part of the Budget Office team and works collaboratively with other offices and departmental staff to support master data requests and ensure proper system configuration. It serves as a foundational role within the Budget Office and is expected to develop a working knowledge of higher education budgeting, fund accounting, and financial system structures. Through training and experience, the incumbent will learn how institutional funds, budgets, and organisational structures are established and maintained within the University’s ERP system.

Why

This Role Matters

Master data is the foundation of the university’s financial structure. The accuracy and integrity of these elements directly impact budgeting, reporting, human resources, and financial operations across the institution. This role ensures that financial structures are thoughtfully designed and maintained, supporting sound decision-making and enabling departments to manage their resources effectively.

Job Duties
  • Create, maintain, and update SAP master data elements, including but not limited to funds, fund centres, cost centres, funded programmes, and internal orders.
  • Review submitted requests for completeness, accuracy, and compliance with established procedures.
  • Coordinate and process master data set‑up and updates within SAP using appropriate transactions.
  • Maintain supporting documentation, logs, and audit trails for all master data activities.
  • Ensure accuracy, consistency, and integrity of data across financial systems.
  • Assist with periodic clean‑up and maintenance of master data records.
  • Support fiscal‑year roll‑over activities and organisational structure updates.
  • Run validation reports and resolve basic discrepancies in master data.
  • Coordinate with back offices and departmental users regarding set‑up requests.
  • Provide customer service and status updates regarding submitted requests.
  • Follow established internal controls and data governance procedures.
  • Develop and apply knowledge of basic budgeting concepts and financial structures to evaluate and process master data requests, ensuring configurations are appropriate, compliant, and aligned with intended financial activity.
  • Assist with basic budget‑related enquiries or routing requests as needed.
