Role DescriptionDraper University is seeking a highly energetic, detail‑oriented Operations & Logistics Assistant / Coordinator to support the day‑to‑day execution of its accelerator and entrepreneurship programs. This is a hands‑on, on‑ground role focused on logistics, inventory, record maintenance, and operational support.
Reporting to the Program Operations Manager, this role is ideal for a go‑getter who thrives in fast‑paced startup environments, enjoys multitasking, and takes ownership of getting things done efficiently and proactively.
What we are looking forThis is a full‑time,
on‑site role for an Operations Coordinator based in San Mateo, CA. The Operations Coordinator will be responsible for managing daily operations, offering administrative support, maintaining efficient workflows, and providing exceptional customer service to ensure smooth organizational processes. This role may also include coordination of events, assisting in scheduling, optimizing operational strategies, and acting as a point of contact for internal and external stakeholders.
- Support day‑to‑day operations of residential, digital, and executive education programs
- Execute on‑ground logistics including room setup, program materials, events, and sessions
- Ensure smooth program flow by anticipating needs and resolving issues quickly
- Act as the first line of operational support during live programs
- Maintain and track inventory of office, program supplies, equipment, and materials
- Ensure timely procurement, storage, and availability of operational resources
- Monitor usage and flag timely replenishment or maintenance needs
- Maintain accurate operational records, checklists, attendance logs, and inventories
- Update trackers, reports, and shared documents in coordination with the Program
- Support compliance, documentation, and audit readiness where required
- Coordinate with internal teams (program, facilities, marketing/BD, accounts) for smooth execution
- Support onboarding of founders (participants), speakers, mentors, and staff
- Assist in scheduling, communication, and follow‑ups
- Provide administrative and operational support as needed
- Identify on‑ground operational issues and propose practical solutions
- Support implementation of processes, SOPs, and tools
- Adapt quickly to changes in schedules, requirements, or priorities
Skills & Qualifications
- Bachelor’s degree (or equivalent practical experience). Don’t let this stop you from applying!
- 2‑4 years of experience in operations, logistics, events, or program coordination
- Strong organizational and multitasking abilities
- Tech‑savvy with comfort using digital tools (Google Workspace, air tables, spreadsheets, trackers, event tools)
- Excellent communication skills in English (written and spoken)
- Ability to work independently while supporting a larger team
- High energy, speed, and attention to detail
- Can‑do attitude with a proactive approach to problem‑solving
- Go‑getter mentality – takes initiative without waiting for instructions
