Position Summary
As an Operations Coordinator, you will provide comprehensive administrative and operational support to a team within a fast-paced, high-growth environment. This role focuses on enabling team efficiency, improving operational processes, coordinating logistics, and ensuring smooth day-to-day operations. The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities while supporting a diverse group of stakeholders. This is not a dedicated executive support role;
rather, it is a team-facing position focused on coordination, organization, and operational excellence.
- Team Operations & Coordination
- Provide administrative support to a direct team of approximately 40 members.
- Coordinate team meetings, recurring cadences, and cross-functional sessions.
- Manage shared calendars, conference room scheduling, and meeting logistics.
- Track action items and support follow-ups to ensure accountability.
- Assign, track, and manage completion of required trainings for the team.
- Planning & Logistics
- Coordinate domestic and occasional international travel for team members.
- Prepare and process expense reports in compliance with company policy.
- Support budget tracking, invoice processing, and purchase requisitions.
- Assist with contract and FTE personnel onboarding: obtaining access to NX systems, procuring IT equipment, PPE, updating org charts.
- Assist with receiving, organizing and distributing deliveries and shipments.
- Project & Operations Support
- Coordinate field mobilizations, safety trainings, logistics, and execution of pile load testing projects.
- Coordinate operations meetings with customers, internal teams, and field personnel.
- Organize field data, photos, and information gathered during pile load testing projects.
- Work closely with structural and geotechnical engineering teams to generate test plans, provide feedback on their effectiveness, and drive improvement.
- Coordinate field mobilizations, safety trainings, logistics, and execution of production customer projects and training program.
- Process Support
- Assist with departmental projects and track key milestones.
- Support preparation of presentations, reports, and team communications.
- Identify and recommend process improvements to increase team efficiency.
- Events & Engagement
- Support customer visits to Nextpower facilities.
- Coordinate team offsites, workshops, and internal events.
- Support leadership visits and cross-functional planning sessions.
- Partner with HR or leadership on team engagement initiatives.
- 3-5+ years of administrative, coordination, or operations support experience.
- Experience supporting a team in a corporate office and field environment.
- Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word) and collaboration tools (Teams, SharePoint, Confluence).
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Ability to work independently and exercise sound judgment.
- High attention to detail and follow-through.
- Experience in technology, renewable energy, manufacturing, or other fast-pace industries.
- Experience supporting cross-functional or distributed teams.
- Familiarity with ERP, expense, or procurement systems (e.g., Workday, Concur, SAP).
- Experience with Salesforce, and Netsuite.
- Data analytics and data management experience a major plus (Excel, Python, PowerBI).
- Bachelor’s degree preferred.

Compensation and LocationThe annual salary range for this position is $70,000.00-$85,000.00, based on market location and factors such as experience, skills, education, and other job-related reasons. This position reports to the San Rafael location and requires onsite presence five days a week.
