Title
Senior Administrative Assistant
Contract & LocationHybrid Role – Need to be in San Rafael Office when needed (approximately 5 days per month).
Must have SAP/SRM contract management experience.
Primary Responsibilities- Meeting Coordination: proactively schedule and organize meetings and conference calls; secure rooms, arrange technical setup and catering; prepare materials and record minutes.
- Offsite Event Management: oversee logistics for offsite meetings, including hotel and restaurant bookings, catering arrangements, and team‑building activities.
- Travel Coordination: arrange all business travel in accordance with company policy, managing flights, accommodation, transportation, and budgets.
- Expense Management: prepare and process expense reports accurately and promptly using Concur.
- Office Supply Oversight: monitor and replenish departmental supplies.
- Technical Liaison: serve as point of contact for IT‐related issues, ensuring timely resolution.
- Meetings Participation: actively participate in GPS meetings, on‑site and off‑site, contributing to effective communication.
- Calendar Management: maintain and coordinate calendars for GPS leadership and the broader department.
- Contract Administration: submit and track department contract requests within Bio Marin’s contract management system.
- Invoice Tracking: monitor and reconcile departmental invoices for financial accuracy.
- Project Tracking: develop and maintain project trackers and spreadsheets; follow up on deliverables and synthesize status reports.
- Document Management: organize and maintain departmental files within Bio Marin’s document management system.
- Contact List & Organizational Chart Management: update departmental contact lists and organizational charts.
- Planning and Coordination: manage multiple tasks and priorities in a fast‑paced, deadline‑driven environment while maintaining attention to detail.
- Technical Proficiency: advanced knowledge of Microsoft Office Suite, Concur, SharePoint, and other business tools.
- Communication and Interpersonal

strong written and verbal communication to foster professional interactions with internal and external partners. - Detail Orientation and Responsiveness: commitment to meeting deadlines with thorough, accurate, and compliant work products.
- Initiative and Independence: work independently, learn new tasks quickly, and proactively anticipate departmental needs.
- Minimum 5 years of administrative experience in the biotechnology or pharmaceutical industries; experience supporting pharmacovigilance functions is highly desirable.
- Bachelor’s degree highly preferred.
Salary range: $31 to $50 per hour. Additional benefits may include discretionary annual bonus, stock‑based long‑term incentives (vary by role), paid time off, and a benefits package that includes company‑sponsored medical, dental, vision, and life insurance plans.
