There are currently two (2) full-time, regular hire Administrative Services Technician vacancies - one (1) in Marin County Parks and one (1) in the Community Development Agency. However, candidates who meet the requirements for this position may be considered for future vacancies (regular, fixed term, full-time, part-time, contingent) in Marin County Parks, the Community Development Agency, and other departments throughout the County while this list remains active.

Under the direction of the Administrative Services Associate, the Administrative Services Technician (AST) will be responsible for completing and processing a wide variety of technical and complex documents related to the work of the department, such as accounts payable, applications or requests for goods, trades, services, and construction, administration support and bank reconciliation. This AST uses variety of standard office equipment, including a computer and various spreadsheet, word processing and specialty software's.

They will ensure that documents are complete, accurate and in compliance with program and departmental policies and procedures. They will prepare a variety of statistical, fiscal, narrative, and other reports, utilizing data from a variety of sources which requires compilation and summarization. The AST will provide administrative support to staff for meetings and report submission processes. They will support agency wide HR, recruitment and onboarding processes, including outreach, coordination and communication with job applicants, interview panels, and hiring managers.

The Highly Qualified Candidate for this assignment can work collaboratively with team members, department staff and members of the public, is self-directed, and demonstrates excellent judgment and decision-making skills. They are a self-starter who can organize their own work and meet critical deadlines. They have demonstrated experience monitoring relatively complex budgets with multiple funding streams and preparing a variety of accounting related documents such as invoices, accounts receivable for multiple clients, and purchase orders.

They have experience working in MUNIS or a similar financial system and has strong proficiency with Microsoft Office and/or Microsoft 365 (including Excel, Outlook and Word). Prior experience working in a public agency is a plus.

Additional highly desirable skills include:

  • Can prepare, maintain and audit a wide variety of forms, reports, and documentation for completeness, accuracy, and compliance with policies and procedures.
  • Can prepare accurate, effective and timely reports, correspondence, procedures and other materials.
  • Review, reconcile, and maintain financial records with a high degree of accuracy.
  • Process payroll, invoices, purchase orders, deposits, refunds, and other financial transactions in accordance with County policies and procedures.
  • Provide outstanding customer service while responding professionally to inquiries from staff, vendors, partner agencies, and the public.
  • Maintain confidentiality when handling sensitive financial and personnel information.
  • Identify and recommend improvements to administrative and financial processes to increase efficiency and accuracy.

Knowledge of:

  • Standard office practices and procedures, including filing and retrieval systems, correspondence formats and the operation of standard office equipment.
  • Basic budgetary principles and terminology.
  • Business arithmetic, including fractions and decimals.

Ability to:

  • Perform technical, specialized, complex and/or difficult office administrative support work for a department or unit.
  • Interpret, apply and explain policies, laws and regulations to the administrative operations and procedures of the department or unit.
  • Conduct basic administrative research.
  • Collect and compile data and prepare accurate, effective and timely reports, correspondence, procedures and other written materials.
  • Use computer applications related to the work, including word processing, spreadsheet and database applications.
  • Organize own work, set priorities and meet critical deadlines.
  • Lead the work of others.
  • Represent the department on a variety of task forces and committees.
  • Establish and maintain effective working relationships with those contacted in the course of the work.
  • Communicate effectively both verbally and in written form.
