Full job description Job Purpose

The File Clerk is an important clerical position within our company. Due to the nature of our business, many documents are physically mailed to our offices and need to be processed in a timely manner. The File Clerk works closely with all staff to open and scan mail, assist with audits, check processing, claims reviews and more. A successful File Clerk is a detail-oriented supportive team player who wants to make our company successful and may wear many hats.

Basic

Functions

Responsible for the complete organization of all the claim files, opening and distributing mail and all other incoming correspondence as well as indexing mail, scanning mail to examiners and digital drop file of invoices in the claim system. Currently working with paper and electronic files.

Responsibilities
  • Open and date stamp and scan all incoming mail daily.
  • Index each piece of mail to determine distribution to appropriate examiner and/or Unit Manager.
  • Answer all incoming daily calls, transfer to the appropriate CE/UM
  • Create Sorry packets that are assigned via task in Ventiv
  • Print all letters Ums, Ca’s, and CE’s put in the print folder daily
  • Retrieve hard files as requested, scan to CA/CE
  • Process all outgoing checks that are printed for IMS
  • Process all outgoing mail daily, utilizing mail machine by 3:30 PM each day.
  • Digital drop file for assigned accounts for Shauna V to process.
  • Complete other duties as assigned.
Skills
  • Ability to adapt to changing technology
  • Experience with O365
  • Strong written and verbal communication skills
  • Ability to produce at a high volume while minimizing errors
  • Highly collaborative with the ability to work independently and in a team setting
  • Ability to retain instruction and able to work independently once fully trained

Other Requirements
  • High School Diploma or equivalent work experience
  • Ability to work in the office and maintain a consistent schedule
