The Inventory Control Specialist supports the accuracy and integrity of retail inventory data within Net Suite across Museum of Illusions Corporate and Franchise locations. Working in close coordination with internal finance and warehouse teams this role handles day‑to‑day inventory transactions, purchase order processing, and reporting within established systems and workflows. The position is well‑supported by HQ‑level controls, processes, and financial oversight, allowing the Specialist to focus on execution, data accuracy, and local operational support.
Key Responsibilities Inventory Data & Net Suite Maintenance- Enter and maintain retail inventory records in Net Suite, including item setup, pricing updates, and vendor assignments.
- Create and update SKU master data including product descriptions, categories, UPCs, costs, and retail pricing.
- Perform regular system audits to ensure inventory balances are accurate and up to date.
- Investigate and escalate discrepancies between Net Suite, POS systems, and warehouse records as needed.
- Support new product launches by creating item records and maintaining associated documentation.
- Create and process purchase orders for retail merchandise within Net Suite following established approval workflows.
- Coordinate with Harbourview Products and approved vendors on order status, shipment schedules, and receiving documentation.
- Track open purchase orders and follow up on outstanding deliveries.
- Assist with forecasting and replenishment activities to maintain inventory availability.
- Ensure purchase orders align with approved budgets and inventory plans set by leadership.
- Review and match vendor invoices against purchase orders and receiving records.
- Route invoices through the established approval process and flag discrepancies.
- Maintain organized vendor payment records to support accounts payable inquiries.
- Assist with month‑end and year‑end inventory reconciliation activities in coordination with finance.
- Monitor inventory levels and movement between US & EU warehouses and all corporate museum locations.
- Assist with monthly inventory counts, cycle counts, and variance documentation.
- Generate inventory reports and share findings with the retail team.
- Process inventory transfers, adjustments, returns, and damaged merchandise within Net Suite.
- Support aged inventory reduction efforts through regular reporting.
- Generate weekly and monthly inventory, purchasing, and margin reports using Net Suite.
- Track KPIs related to inventory levels, in‑stock rates, shrinkage and share results with leadership.
- Identify recurring data issues or trends and flag to leadership for resolution.
- Assist with ad hoc reporting requests from retail leadership or finance.
- Collaborate with Retail Operations, Harbourview Products, Supply Chain, Finance, and museum leadership teams.
- Support new museum openings by entering inventory structures and item records in Net Suite.
- Follow and maintain standard operating procedures.
- Assist the Retail Team and Harbourview Products with monthly order pulls as needed.
- 1–3 years of experience in inventory management, retail operations, purchasing, or ERP data entry.
- Proficiency in Microsoft Excel, including pivot tables and VLOOKUP/XLOOKUP.
- Experience with POS systems or retail reporting platforms.
