Position Overview:
We are seeking a highly organized, proactive Assistant Manager to help support operations at our fast-growing real estate law firm. This role is critical to keeping our team aligned, responsive, and efficient in a high-volume environment. The Assistant Manager will serve as a central point of coordination between internal team members, selling agents, and clients, while also assisting Management with ensuring workflows, reporting, and post-closing processes are completed accurately and on time.

- Team & Workflow Management:
Keep team tasks updated and on track across all active files; monitor deadlines, coverage needs, and workload distribution; proactively follow up with team members to ensure timely completion of assigned tasks; assist with identifying bottlenecks and improving internal processes. - Agent & Client Outreach:
Coordinate and assist with selling agent outreach and communication; handle customer/client outreach as needed to support transactions; serve as a professional point of contact to ensure smooth communication and follow-through. - Coverage & Scheduling:
Assist with coverage planning for closing volume, staff availability, and workflow demands; help ensure adequate support during high-volume periods. - Post-Closing & Quality Control:
Track feedback and report trends or issues to management; assist with post-closing follow-ups as needed. - Reporting & Administrative Support:
Pull and prepare reports related to production, performance, and workflow; maintain organized records and tracking systems; support management with data, summaries, and operational insights.
- Prior experience in real estate ideally with builder clients
- Exceptional organizational and time-management skills
- Ability to manage multiple priorities in a fast-paced setting
- Strong communication skills (written and verbal)
- Comfortable with reporting, task management systems, and follow-ups
- Detail-oriented with a proactive, problem-solving mindset
- Professional, client-focused demeanor
- Strong experience with Microsoft Excel and Power Point

Salary: $75,000 - $85,000
