What You’ll Do
- Administers the collection, authorization, publication, storage, retrieval and retention of documents to ensure control and availability of documentation to site personnel.
- Administers the document controls strategy, systems, and policies and procedures including but not limited to the authoring, approval, publishing, version control and archiving of all project or program related documents.
- Maintains the electronic project record files.
- Copies and scans documents as needed to perform distribution and storage duties.
- Prepares records for inactive storage according to the Records Retention Schedule.
- May assist in providing training to project personnel regarding document control and record retention policies, procedures, and project management system use.
- Performs and/or supports regular audits of document controls processes and procedures.
- Performs other duties as assigned.
- Associate’s degree in a relevant field and 3 years of relevant experience, or in lieu of a degree, 5 years of project controls, document control, and/or technical administrative support experience.
- Ability to think in a detailed and structured way.
- Ability to be systematic and learn the industry being supported.
- Proficiency in SharePoint, Bluebeam Revu, and Microsoft Office Suite (Excel, Word, PowerPoint) to support document management, reporting, tracking, and records administration.
- Familiarity with transportation or construction project delivery methods and an understanding of how multiple project disciplines interface throughout design and construction.
- Strong attention to detail with a process-oriented mindset and the ability to quickly learn, interpret, and apply project procedures, standards, and document control requirements.
- Excellent organizational, communication, and coordination skills, with the ability to manage multiple priorities and maintain accurate project records in a fast-paced environment.
- Effective technical writing and document review skills, with the ability to prepare, track, and communicate project information clearly and professionally.
- Ability to collaborate with project leadership, agency representatives, consultants, contractors, and multidisciplinary project teams to support successful project delivery.
