The Submittals Coordinator is responsible for managing all documentation related to material submittals, product data, shop drawings, and closeout documentation for construction projects. This position serves as the liaison between project managers, field teams, vendors, and clients to ensure all project documentation meets specifications, is submitted on time, and approved before installation or procurement.
The Submittals Coordinator ensures the accuracy, completeness, and organization of all submittal records throughout the project lifecycle.
- Review project specifications and drawings to identify submittal requirements and deadlines.
- Create and maintain submittal logs and tracking systems for multiple projects.
- Prepare, assemble, and submit material submittal packages for client and general contractor approval.
- Coordinate with project managers, estimators, and field personnel to gather required data and product information.
- Communicate with vendors and suppliers to obtain necessary product literature, certifications, and warranty documents.
- Review and verify product data, samples, and drawings for compliance with project requirements prior to submission.
- Track status of all submittals and promptly update project teams on approvals, rejections, and revisions.
- Prepare Requests for Information (RFIs) and maintain accurate records of all RFI submissions and responses.
- Assist with the preparation of project closeout documentation including warranties, as-builts, and operation manuals.
- Maintain organized digital and physical records of all project documentation and correspondence.
- Ensure all submittals are properly formatted, coded, and distributed per company and client standards.
- Support project teams in scheduling and ensuring timely delivery of approved materials.
- Assist with procurement and purchase order coordination when necessary.
- Collaborate with the Project Manager to ensure all required documentation is submitted before project completion.
- Provide administrative support to project management and field operations as needed.
- Associate or Bachelor’s degree in Construction Management, Business Administration, or related field (preferred).
- 2–4 years of experience in submittals coordination, construction administration, or project support.
- Strong understanding of construction documentation, material submittals, and closeout requirements.
- Proficiency with document management systems and Microsoft Office Suite (Excel, Word, Outlook, Teams).
- Strong Bluebeam Experience Required.
- Detail-oriented with strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to work collaboratively across departments and meet tight deadlines.
- Familiarity with construction project management processes and terminology.
