Service Coordinator – Medical Equipment

Help Keep Healthcare MovingOMI Med Tech is a growing Florida-based medical equipment service company looking for a highly organized, customer-focused Service Coordinator to join our team at our Sanford, Florida office.
This position is at the center of our service operations. You will work directly with customers, field service technicians, vendors, and our operations team to make sure service calls are handled efficiently and our customers receive an exceptional experience from the initial request through completion.

Medical equipment experience is a plus, but it is not required. Experience coordinating technicians or service calls in industries such as HVAC, electrical, automotive, industrial equipment, facilities, or other field-service businesses can translate very well to this position.
What You'll Do- Serve as a primary point of contact for customers requesting service and repairs.
- Coordinate with OMI Med Tech field service technicians to keep service calls moving efficiently.
- Communicate service status, scheduling information, parts availability, and next steps with customers.
- Help prioritize service requests based on customer needs and urgency.
- Create and send customer quotes for repairs, parts, and services.
- Research, identify, and source replacement parts and equipment.
- Request pricing and availability from manufacturers, distributors, and vendors.
- Follow up on open quotes, parts orders, and outstanding service calls.
- Review technician service documentation and help ensure jobs are properly completed and closed.
- Assist with purchase orders, parts tracking, shipping, RMAs, and other service-related logistics.
- Maintain accurate customer, equipment, and service information.
- Work closely with the operations team to improve scheduling, communication, documentation, and overall efficiency.
- Help identify problems before they become customer issues.
- Assist with other day-to-day operational needs as OMI Med Tech continues to grow.
The ideal candidate is someone who takes ownership of problems and doesn't need to be reminded to follow up.
Preferred qualifications:
- 2+ years of experience in service coordination, dispatch, customer service, operations, inside sales, parts, or a similar role.
- Experience supporting field service technicians is strongly preferred.
- Excellent written and verbal communication skills.
- Strong customer service skills and a professional demeanor.
- Highly organized and able to manage multiple open service calls and priorities.
- Comfortable creating quotes and communicating pricing to customers.
- Strong computer skills and ability to learn new software quickly.
- Experience sourcing parts or working with vendors is a plus.
- Quick Books experience is a plus.
- Medical equipment, biomedical, healthcare, imaging, HVAC, electrical, automotive, or other technical service industry experience is a plus.
- Ability to work independently while being part of a fast-moving team.
- Strong attention to detail and follow-through.
Our Service Coordinator isn't simply answering phones or entering information into a system.
You’ll know you’re succeeding when our customers know what's happening, our technicians have what they need, quotes are going out quickly, parts aren't holding up repairs unnecessarily, and open service calls don't fall through the cracks.
