The HR Administrative Assistant provides administrative and front-line support to the Human Resources department. This position represents the company in a professional manner, maintains employee records, supports routine employee inquiries, assists with onboarding, benefits administration, employee engagement activities, HRIS data and reporting, and other HR initiatives. The HR Administrative Assistant serves as Tier 1 support for employees and routes complex or sensitive matters to the appropriate HR team member or department.
EDUCATIONAND/OR EXPERIENCE
- · Associate or Bachelor’s degree in human resources, Business, Office Administration, or a related field preferred.
- · Minimum of one year of experience in Human Resources, office administration, or a similar role.
- · Excellent organizational skills, attention to detail, and ability to manage multiple tasks and priorities.
- · Strong Microsoft Office skills, especially Word, Excel, Outlook, and PowerPoint; ability to learn and use HRIS and employee communication systems.
- · Ability to communicate professionally and effectively with employees, applicants, visitors, vendors, and members of management.
- · Ability to represent the company in a professional manner.
- · Must possess a high level of interpersonal skills and discretion when handling sensitive and confidential information and situations.
- · Must be able to work in a fast-paced environment, prioritize workload, meet deadlines, and elevate matters appropriately.
- · Must be able to flex work schedule occasionally, including coming in early or staying late to support employee events, benefit enrollment sessions, training, or other business needs.
- · Answers and directs departmental phone calls and assists employees and visitors at the HR office/door.
- · Receives, distributes, ships, and coordinates packages, mail, and HR-related correspondence.
- · Schedules appointments, reserves conference rooms, and coordinates meeting and event logistics.
- · Maintains employee records and files, including filing and uploading HR documentation into the HRIS.
- · Handles confidential and non-routine information with discretion and in accordance with HR procedures.
- · Serves as Tier 1 support for employees by responding to routine questions regarding HR policies, benefits, and procedures; routes or escalates complex inquiries and concerns to the appropriate HR team member or department.
- · Performs employment verifications (VOEs) and prepares other routine verification letters as requested.
- · Assists with and coordinates new-hire activities, onboarding documentation, and related administrative tasks.
- · Assists with Form I-9 completion and maintenance of required employment eligibility documentation.
- · Performs HRIS data entry; prepares HR reports and compiles HR data as requested.
