We are seeking a professional and customer-focused Receptionist to manage front desk operations and serve as the first point of contact for visitors, clients, and employees. The ideal candidate will ensure smooth daily administrative functions while maintaining a welcoming and organized office environment.
The Receptionist will greet and assist visitors, answer and direct incoming calls using a multi-line telephone system, and manage voicemail messages by forwarding them to appropriate personnel. This role involves providing general information, directing visitors, issuing access passes when required, and maintaining appointment calendars. The candidate will also handle incoming and outgoing mail, coordinate fax communications, and prepare correspondence, reports, and other documents as needed.
Additional responsibilities include ordering and maintaining office supplies, assisting with clerical tasks such as filing, photocopying, and document organization, and supporting general administrative operations. The role requires maintaining professionalism, confidentiality, and strong communication while interacting with internal teams and external stakeholders.
Key Responsibilities- Manage front desk operations by greeting visitors and directing them appropriately.
- Answer, screen, and transfer phone calls in a timely and professional manner.
- Maintain visitor logs, issue access passes, and ensure office security procedures are followed.
- Receive, sort, and distribute mail, packages, and office communications.
- Maintain office calendars and coordinate appointments.
- Assist with document preparation, filing, and administrative tasks.
- Order and manage office supplies inventory.
- Support team members with clerical and administrative needs.
Skills and Qualifications
- High School Diploma or equivalent is required.
- Minimum of 1–2 years of receptionist, front desk, or administrative support experience.
- Proficiency in Microsoft Office applications including Word, Excel, and Outlook.
- Strong verbal and written communication skills with the ability to interact professionally with diverse individuals.
- Excellent organizational skills and attention to detail.
- Ability to multitask, prioritize responsibilities, and work independently.
- Strong problem-solving skills and ability to handle customer inquiries effectively.
- Professional demeanor with excellent customer service skills.
