Position Summary

As an Accounting Associate, you will support the day-to-day bookkeeping, reconciliations, and reporting that make sophisticated family-office service possible. You will work closely with the Accounting Manager, who will mentor you, review your work, and help you grow in your career.

Key Responsibilities
  • Perform day-to-day bookkeeping and accounting procedures — including accounts receivable (A/R), accounts payable (A/P), payroll (P/R), general ledger (G/L) entries, and tax payment processing — using Quick Books and other firm-standard systems.
  • Assist with month-end close, including preparing journal entries, maintaining the general ledger, and drafting supporting schedules for financial statement preparation under the direction of the Accounting Manager.
  • Maintain accurate records of assets, liabilities, and other financial activity for assigned clients, flagging discrepancies or unusual items to the Accounting Manager for review.
  • Prepare bank, credit card, and general ledger account reconciliations, including reconciliations of investment transactions, in support of monthly and quarterly reporting packages reviewed by the Accounting Manager prior to client delivery.
  • Process invoices, bill payments, and bank deposits for company and client accounts; ensure proper coding, documentation, and approval workflows are followed.
  • Communicate with vendors regarding past-due invoices, billing questions, and account status; provide weekly status updates to the Accounting Manager and/or client point of contact.
  • Coordinate with outside professionals, vendors, and tenants (e.g., CPAs, property managers, service providers) as needed to gather documentation, schedule deliverables, and follow up on outstanding items.
  • Support tax-information gathering by collecting and organizing income statements, 1099 information, and other backup documentation requested by external CPAs and tax preparers.
  • Maintain confidential client files and organized digital filing systems across SharePoint/One Drive, including scanning, naming, and routing financial and administrative documents per firm conventions.
  • Perform general administrative and office-support tasks for the company and its clients as needed, including mail processing, document organization, and recordkeeping.
  • Track work time accurately by client and project for internal reporting and client invoicing purposes.
  • Perform other duties and special projects as assigned by the Accounting Manager, Director of Accounting, or firm leadership.
Qualifications
  • Bachelor's degree in Accounting, Finance, or a Business-related field preferred.
  • 1–5 years of experience in accounting, bookkeeping, or business administration.
  • Proficiency in Quick Books Online or other accounting software is a plus.
  • Strong computer aptitude, including experience with MS Office programs — particularly Outlook, Excel, Word, and Teams.
  • Strong written and verbal communication and organizational skills.
  • Ability to communicate confidential and sensitive information appropriately.
  • Ability to develop and maintain strong client relationships.
  • Ability to work well with others under deadline situations and respond to changes in priorities.
  • Ability to work independently while managing multiple priorities and deadlines, take initiative, set priorities, and see projects through to completion.
  • Exceptional analytical and problem-solving abilities.
  • Skilled in working with cross-functional teams to achieve overall business objectives.
