Full Charge Bookkeeper

Description We are looking for an experienced Full Charge Bookkeeper to oversee day-to-day financial operations for a law firm in California. This position requires someone with strong attention to detail who can manage multiple entities, maintain accurate trust accounting records, and support consistent financial reporting. The ideal candidate is confident working independently, communicates effectively with external accounting partners, and handles sensitive financial information with a high level of discretion.

Responsibilities:

- Oversee bookkeeping activities across three separate Quick Books Online entities, ensuring records remain complete, accurate, and current.

- Reconcile bank accounts and credit card statements each month to verify balances and resolve discrepancies promptly.

- Administer the firm's trust accounting functions, including monthly three-way reconciliations and ongoing ledger maintenance in accordance with California State Bar requirements.

- Post settlement-related transactions, track incoming funds, and prepare outgoing disbursements tied to client matters.

- Process financial distributions such as attorney payments, client proceeds, lien settlements, and case-related expenses with accuracy and timeliness.

- Partner with the external accountant on tax-related items, year-end close support, and preparation of financial records needed for reporting.

- Maintain documentation required for annual 1099 filing and keep vendor and payment records organized for audit readiness.

- Review recurring obligations such as rent, insurance, and other operating expenses to support timely payment and budget awareness.

- Provide support for payroll updates and related administrative changes through Paychex as needed while preserving confidentiality of firm financial data. Requirements - At least 5 years of experience in a full-charge bookkeeping role.

- Advanced hands-on expertise with Quick Books Online is required.

- Proven ability to reconcile multiple banking and credit accounts with a high degree of accuracy.

- Strong organizational, analytical, and problem-solving skills.

- Exceptional attention to detail and commitment to maintaining precise financial records.

- Ability to prioritize competing tasks and work independently with minimal supervision.

- Clear communication skills and sound judgment when managing confidential financial information.

- Prior experience with legal trust accounting, law firm bookkeeping, contingency-fee environments, or the Paychex platform is strongly preferred.
